Salary: $50,000–$60,000 per year, depending on experience

Schedule: Monday–Friday, with availability outside regular hours when required

About the Role

We are looking for a motivated and highly organized Junior Property Manager to assist with the day-to-day management of our residential and mixed-use real estate portfolio in Montreal.

This is a hands-on role. The successful candidate will be responsible for ensuring that our properties operate smoothly, tenants receive timely service, vacant units are marketed and rented quickly, and maintenance issues are properly coordinated and followed through to completion.

You will work closely with ownership, our site/construction team, contractors, suppliers and tenants.

We are looking for someone who takes ownership of problems rather than simply passing them along. The ideal candidate is organized, responsive, comfortable communicating with tenants and contractors, and able to manage multiple priorities at the same time.

Key ResponsibilitiesLeasing & Occupancy A major responsibility of this position is maintaining solid occupancy across the portfolio.

Responsibilities include

- Advertise available apartments across appropriate rental platforms
- Prepare rental listings, photos and descriptions
- Respond quickly to prospective tenants
- Schedule and conduct apartment visits
- Follow up with prospective tenants after visits
- Screen rental applicants and collect required documentation
- Prepare leases and related documentation
- Coordinate lease signatures and move-ins
- Maintain an accurate list of upcoming vacancies and lease expirations
- Begin the leasing process sufficiently early to minimize vacancy
- Monitor rental pricing and competing listings in the surrounding market
- Recommend pricing adjustments when units are not generating sufficient interest
- Coordinate unit preparation so apartments are ready for new tenants on time
- Maintain organized records of leads, visits, applications and leasing results

Tenant Management
- Act as a primary point of contact for tenants
- Respond to tenant questions and service requests
- Maintain professional and timely communication
- Document tenant complaints and recurring issues
- Follow up to ensure reported problems have actually been resolved
- Coordinate move-ins and move-outs
- Conduct or coordinate unit inspections when required
- Communicate building notices and scheduled work
- Assist with lease renewals and tenant retention
- Escalate significant disputes, legal issues or unusual situations to management

Maintenance & Repairs
- Receive and organize maintenance requests
- Determine the urgency of reported issues
- Coordinate appropriate contractors, maintenance staff or suppliers
- Schedule access with tenants
- Follow up with contractors until work is completed
- Confirm that work has been properly completed before closing a maintenance request
- Obtain photos,



invoices and other documentation where appropriate
- Monitor recurring maintenance problems
- Assist management in identifying preventative maintenance opportunities
- Maintain records of outstanding and completed work

The Junior Property Manager will coordinate property-level maintenance but will not be expected to act as a construction project manager or site superintendent for major renovation/construction projects.

Property Operations

- Conduct regular property inspections
- Identify cleanliness, maintenance, safety and operational issues
- Monitor common areas and exterior conditions
- Coordinate cleaning, snow removal, landscaping and other recurring services
- Follow up with service providers regarding deficiencies
- Maintain organized property records
- Track keys, access devices and building information
- Assist with utility, supplier and service-provider coordination
- Report significant property issues to management promptly

Administration & Reporting
- Maintain accurate tenant and property records
- Keep leasing information and vacancy reports current
- Track maintenance requests and outstanding issues
- Prepare regular reports for management
- Maintain organized electronic documentation
- Assist with invoices and expense documentation
- Track important deadlines, renewals and property-related obligations
- Use Excel/Google Sheets and property-management systems to maintain accurate information

Performance & KPIs This is a performance-driven position. The Junior Property Manager's performance will be evaluated using clearly defined Key Performance Indicators (KPIs).

A significant component of the KPIs will relate to occupancy and successful leasing of available units.

Performance measurements may include

- Portfolio occupancy rate
- Percentage of available units successfully rented
- Average number of vacant days between tenants
- Percentage of units rented before the previous tenant's lease ends
- Speed of response to new rental inquiries
- Lead-to-visit conversion rate
- Visit-to-application and application-to-lease conversion rates
- Timeliness of lease renewals
- Maintenance response and resolution times
- Number of unresolved or overdue tenant requests
- Accuracy and completeness of property records
- Timeliness of management reporting

The objective is not simply to generate rental inquiries. The ultimate objective is to keep rentable units occupied at appropriate market rents while minimizing unnecessary vacancy. KPIs will take into consideration factors reasonably outside the employee's control, such as units undergoing major renovations,



management decisions to hold a unit vacant, or other circumstances preventing a unit from being offered for rent.

Qualifications Required

- Strong organizational and time-management skills
- Excellent follow-up and attention to detail
- Strong written and verbal communication skills (In French and English)
- Professional and comfortable dealing directly with tenants
- Ability to manage multiple properties, tenants and open issues simultaneously
- Comfortable working independently and taking ownership of assigned responsibilities
- Working knowledge of Microsoft Excel or Google Sheets
- Comfortable learning property-management and productivity software
- Valid driver's licence + Vehicule
- Ability to travel between properties within Montreal
- Fluency in French and English, as the position requires regular communication with tenants, contractors, suppliers and other parties in both languages

Preferred
- 1–3 years of experience in property management, leasing, real estate administration or a related field
- Experience showing and leasing residential apartments
- Familiarity with Montreal's residential rental market
- Basic understanding of building maintenance and residential construction
- Familiarity with Quebec residential leases and the Tribunal administratif du logement (TAL)
- Experience coordinating contractors or maintenance personnel
- Experience with property-management software

Success in This Role A successful Junior Property Manager will know the status of every vacant or soon-to-be-vacant unit, understand what is preventing a unit from being rented, respond quickly to prospective tenants, ensure maintenance requests do not disappear into a backlog, and provide management with clear information about the portfolio. The goal is to progressively give the successful candidate greater responsibility as they demonstrate their ability to independently manage properties and consistently achieve their KPIs.

There is an opportunity for the position to develop into a Property Manager role as the portfolio and the employee's responsibilities grow.

Pay: $50,000.00-$60,000.00 per year
