Quik's Farm Ltd. is a wholesale cut flower grower based in Chilliwack, BC, with over 20 acres of indoor and an additional 35 acres of seasonal outdoor growing space. Quik’s Farm is geared towards the intense production of cut Chrysanthemums, Oriental Lilies, Alstroemeria, and other seasonal crops utilizing state-of-the-art growing systems and leading-edge technology to produce high-quality products for our diverse customer base throughout Western Canada and the Pacific Northwest USA.

This position offers you an opportunity to be part of a energetic, fun-loving, and growing team! We are currently hiring a highly motivated Purchasing Assistant to provide next-level support, organization, and accountability within our rapidly evolving procurement department. You will be assisting our Lead Purchasing Coordinator to ensure all necessary purchasing data is up to date, purchase orders are created, and inventory is managed effectively and efficiently.

To ensure your success as a purchasing assistant, you should possess excellent interpersonal skills and highly organized data management skills. As an outstanding purchasing assistant, you will be someone who utilizes systems and software to provide solutions and transparency in the background and ensures a seamless inter-departmental flow of information. This position reports directly to the Lead Purchasing Coordinator.

Primary Responsibilities:

Purchase Order Administration

· Review approved material requests, production schedules, inventory information, and sales forecasts to prepare timely and accurate purchase orders.

· Gather demand requirements from departments and confirm quantities, required delivery dates, and other purchasing details with the appropriate internal contacts.

· Create, issue,



and maintain purchase orders using approved suppliers, pricing, quantities, delivery dates, and purchasing terms.

· Follow up with suppliers to confirm receipt of purchase orders and obtain acknowledgement of expected delivery dates.

Inventory Monitoring and Replenishment

· Monitor inventory levels and established purchasing triggers, including minimum and maximum levels, reorder points, safety stock requirements, and consumption trends.

· Prepare replenishment purchase orders when approved inventory thresholds are reached and investigate or escalate unexpected inventory variances.

· Compare forecasted demand with actual usage, document discrepancies, and notify the appropriate team members when purchasing adjustments may be required.

Supplier and Shipment Coordination

· Maintain regular and skilled communication with approved suppliers regarding orders, documentation, delivery timelines, and routine inquiries.

· Track incoming shipments and update purchase order records throughout the order lifecycle.

· Obtain and organize supplier quotations for new items, replacement products, or alternative suppliers for review and approval.

· Assist with resolving routine supply issues, including shortages, delayed deliveries, incorrect quantities, and order discrepancies, escalating significant concerns when necessary.

Administrative Support

· Coordinate with production, inventory,



and operations teams to support the timely arrival of required materials.

· Maintain accurate purchasing records, including purchase orders, quotations, order confirmations, delivery information, supplier correspondence, and supporting documentation.

· Provide routine purchasing updates and reports to the Lead Purchasing Coordinator as required.

Qualifications:

- Experience working with horticulture or floriculture industries is an asset
- Intermediate to advanced skills in MS Office: Outlook, Word, Excel, and PowerPoint
- Ability to utilize mathematics and accounting skills at a grade 12 or post-secondary level
- Completion of high school and/or applicable post-secondary education
