Receptionist/Law Clerk
PLEASE NOTE: This position is in the Municipality of West Grey, Town of Durham, postal code N0G 1R0. We are NOT located in the Region of Durham to the east of Toronto.
West Grey, Town of Durham, law firm is seeking a reliable full-time receptionist/law clerk to join our team. We practice in the areas of real estate, wills, estates, corporate and commercial, and civil litigation. We are hiring a receptionist to take primary responsibility for answering the phone and greeting clients at the office.
This role also entails preparing Wills and Powers of Attorney, preparing routine annual Corporate Minutes, acting as the primary Litigation Clerk, and assisting with banking, filing, and other office tasks. Given the small size of our firm, we are looking for an individual willing and interested in learning about all practice areas.

Responsibilities include
- This is an in-person position at our Durham, West Grey, Ontario office
- Answer the phone, assisting clients and directing calls
- Greeting clients, obtaining identification, and assisting clients in preparing for meetings with the lawyers or other staff
- Drafting Wills and Powers of Attorney
- Entering time dockets for litigation counsel and paralegal
- Maintaining litigation files by saving, printing, and filing written communications and all relevant documents
- Arranging service of documents, preparing Affidavits of Service, filing litigation documents with the court
- Assisting in preparation of other litigation documents, including Affidavit of Documents, Books of Authorities, organizing Exhibits to Affidavits, creating Indices, creating and binding hard copy litigation books, creating and hyper-linking electronic litigation books, and other support to the litigation practice
- Preparing annual corporate minutes in accordance with accountant instructions
- Assisting with other areas as requested
- Communicating with lawyers, colleagues, clients, lenders, real estate agents, court staff, and others, with a focus on building positive working relationships with all
- Must be able to work independently and take responsibility for one’s own files
- Although law firm experience is an asset, it is not required and on-the-job training will be provided
Job Requirements
- High school diploma required
- Further education as law clerk, in office administration, or in a related field is an asset
- Must be familiar with computers and computer software
- Professional and friendly demeanor
- Excellent phone skills
- Able to quickly learn current software, such as ProLaw, Unity, WordPerfect,
Microsoft Office, etc.
- Able to quickly learn to navigate websites and online services such as Teraview, OnCorp, the Attorney General’s database of court forms, etc.
- Excellent typist
- Must have excellent spelling and grammar
- Organized and reliable
- Able and willing to maintain confidentiality of client information
- Must be self-motivated and take initiative to fulfill responsibilities and assist the firm
- Must have own reliable form of transportation
- Must be articulate and able to provide excellent customer service
- Vaccinated against COVID-19 (at least the original 2 shot series)
Job Details
- Hours – Monday through Thursday, 8:30 am – 5:00 pm, Friday 8:30 am – 4:30 pm with 1 hour lunch or start at 9:00 and take a 30 minute lunch.
- Compensation – $47,000 per year salary
