Are you organized, friendly, and great with people? A premier Kingston aesthetic medicine clinic is seeking a full-time Clinic Receptionist to be the face of our practice starting October 1st. We are launching a fresh chapter for this clinic with the focus on patient support, teamwork and positive and productive workplace. We are looking for a solutions-oriented professional who thrives in a team-oriented and professional environment.
We will provide clinic-specific training to the successful candidate.
Main responsibilities:
Providing friendly, welcoming services greeting patients when arrive at the clinic
Ensuring all forms are correctly filled in, settle clients into to wait room and/or treatment room of service
Respond to all calls, texts and email requests related to client services for appointments, call backs, information booking client appointments through electronic scheduling system
Responsible for opening electronic charts in practice management system and entering notes into the electronic medical record system; creating electronic file for each new patient; updating existing files
Scanning and filing intake, consent forms and all other documentation into client files
Implement clinic opening and closing procedures
Process client payments and billings
Ensure that the reception area, boutique area, waiting area and treatment rooms are properly stocked and maintained
Take pre treatment photos and upload to electronic files
Ordering office supplies
Cross-Team Collaboration: Work closely with the medical and esthetic staff,
showing a willingness to assist with secondary, non-administrative clinic duties to ensure a smooth, low-stress day for everyone.

What We Are Looking For:
Previous experience as a receptionist (medical, spa, or clinic experience is a big plus).
Strong Team Orientation: You genuinely enjoy supporting your coworkers and creating a harmonious workplace. We heavily value professionals who avoid workplace politics and focus on collective success.
Strong computer skills and the ability to learn new booking software quickly; proficiency in Microsoft Office Suite
Excellent multitasking skills with a calm, professional manner.
Training/experience with office systems, electronic scheduling and electronic medical records, esthetic industry experience an asset.

This job involves some lifting and stair climbing
