The Recruitment Coordinator supports Assisted Living Southwestern Ontario (ALSO) by ensuring a prepared, engaged, and well-integrated workforce. From first contact through early employment, this role coordinates respectful, timely recruitment, onboarding, orientation, and training processes so new employees feel informed, confident, and supported.
Through accurate administration, clear communication, and a people‑first approach, the Recruitment Coordinator strengthens workforce stability and readiness—directly supporting ALSO’s ability to deliver consistent, compassionate, high‑quality services that respect client dignity, independence, and well‑being.
Reporting to the Talent Recruitment Manager, this role plays a key part in creating welcoming, inclusive, and positive candidate and onboarding experiences, from recruitment through orientation, training, and early stages of employment.
Key Responsibilities
1. Recruitment & Candidate Experience
- Coordinate full-cycle recruitment for union and non‑union roles, ensuring a respectful, engaging, and timely candidate experience
- Prepare and post internal and external job postings aligned with role requirements and organizational values
- Screen applicants and coordinate interviews in collaboration with hiring managers
- Prepare interview materials and employment offers; track recruitment activity and outcomes
- Serve as the primary point of contact for candidates throughout the recruitment process
- Support employer branding, job fairs, community events, and outreach initiatives
- Ensure fair, consistent, and compliant recruitment practices
- Identify opportunities to improve recruitment and onboarding processes
1. Onboarding & Orientation
- Coordinate and support monthly recent hire orientation sessions
- Prepare onboarding packages and collect required employment documentation
- Coordinate policy acknowledgements and onboarding logistics
- Enter and maintain current hire information in HRIS
- Provide first‑line onboarding and probationary support
- Coordinate benefits enrolment following probation
- Escalate onboarding concerns to the appropriate HR contact as needed
1. Training & Early Employment Tracking
- Track completion of mandatory training and maintain accurate training records
- Support internal training coordination, scheduling, and documentation
- Monitor probationary periods and maintain required employment records
1. Employee & Manager Support
- Respond to employee and manager inquiries related to recruitment, onboarding, and training
- Provide guidance on orientation and training requirements
- Collaborate with the HR Coordinator to ensure consistent service delivery and coverage
Qualifications
- Post‑secondary education in Human Resources, Business Administration, or a related field
- Strong organizational, communication, and problem‑solving skills
- Proficiency with Microsoft 365 and HRIS/payroll systems
- Ability to work independently and collaboratively
- Commitment to confidentiality and ethical handling of information
- Valid Ontario driver’s licence, appropriate insurance, and Police Clearance
Preferred
- Experience in recruitment coordination, onboarding, or training administration
- Experience in a unionized environment
- Experience in nonprofit or healthcare settings
- Bilingualism or additional languages considered an asset
