RESIDENT SERVICES COORDINATOR

Apartment Community | Edgewood Suites

Position Type: Part-Time

Location: Edgewood Suites, Dundalk, ON

Reports To: Property Owner / Head Office

POSITION SUMMARY The Resident Services Coordinator is responsible for overseeing the day-to-day operations of Edgewood Suites and ensuring the property is well maintained, efficiently managed, compliant with applicable legislation, and provides a high standard of service to residents.

The candidate serves as the primary point of contact for residents and their families, responding to questions, concerns, maintenance requests, deficiencies, and tenancy-related matters. The position requires a hands-on, organized, and customer-focused individual who can effectively balance resident relations, leasing, administration, maintenance coordination, financial responsibilities, regulatory compliance, and building operations.

The successful candidate must be able to work independently, prioritize multiple responsibilities in a fast-paced environment, and exercise sound judgment when dealing with residents, contractors, service providers, ownership, Head Office, and regulatory matters.

KEY RESPONSIBILITIES

1. Building Operations & Property Management

- Oversee the daily operations of the 55+ adult lifestyle rental apartment community.
- Monitor the cleanliness, safety, condition, and appearance of the building and common areas.
- Coordinate planned and reactive maintenance and service activities.
- Respond to maintenance requests, deficiencies, and building-related concerns and ensure they are properly documented.
- Enter and maintain accurate service and maintenance records in the property management system.
- Identify and appropriately escalate safety, hazardous, regulatory, and building concerns.

2. Resident Relations & Customer Service

- Serve as the first point of contact for residents and their families.
- Provide professional, responsive, and consistent customer service.
- Respond to and investigate resident questions, complaints, concerns, and disputes.
- Coordinate appropriate solutions or escalate matters when necessary.
- Maintain effective communication regarding repairs, maintenance, notices, building matters, and tenancy issues.
- Respond to after-hours emergencies, including loss of heat, water, air conditioning issues, flooding, and other urgent building concerns, and coordinate the appropriate response.
- Support resident retention through proactive communication and positive resident relationships.
- Plan, implement,



and promote appropriate social and recreational activities for residents.

3. Leasing & Tenant Management

- Respond to prospective resident inquiries and conduct property and suite tours.
- Provide information regarding suites, amenities, policies, and rental terms.
- Prepare and maintain leases, renewals, notices, and other tenancy documentation.
- Ensure leasing and renewal processes comply with company policies and applicable legislation.
- Coordinate move-in and move-out processes and complete move-out inspections as required.
- Maintain accurate tenant records and documentation.

4. Rent Collection & Financial Administration

- Collect, track, and forward rent cheques and other payments to Head Office as required.
- Implement rent increases in accordance with applicable legislation and company policies.
- Prepare required rent-related documentation for tenants and, when necessary, the Landlord and Tenant Board.
- Assist ownership and Head Office with reporting related to occupancy, rent collection, expenses, and property performance.

5. Regulatory & Legal Compliance

- Maintain a practical and current understanding of Ontario landlord and tenant legislation and Landlord and Tenant Board procedures.
- Assist with tenancy disputes, notices, applications, and related legal or regulatory matters.
- Maintain awareness of applicable building, fire, health and safety, and housing requirements, including the Ontario Building Code, Ontario Fire Code, and RentSafe requirements.
- Maintain appropriate records supporting regulatory compliance.
- Escalate legal, regulatory, safety, and risk-management matters appropriately.
- Assist with insurance claims and risk-reduction measures when applicable.

6. Administrative & Property Support

- Coordinate general office and administrative activities for the property.
- Answer telephone calls and emails professionally and promptly.
- Prepare correspondence, notices, reports, and other documentation.
- Schedule appointments, meetings, contractors, inspections, and other activities.
- Maintain organized tenant, property, maintenance, financial, and administrative records.




- Maintain accurate records in the property management system and document resident communications.
- Coordinate meeting rooms, deposits, contracts, and resident package distribution as required.

7. Guest Suites & Turnover

- Coordinate or complete cleaning and preparation of guest and turnover suites.
- Ensure vacant suites are appropriately prepared for showings and new residents.
- Identify deficiencies during inspections and coordinate required repairs or cleaning.
- Complete and document move-out inspections and follow up on outstanding items.

8. Communication & Reporting

- Act as the primary communication link between residents, ownership, Head Office, maintenance personnel, contractors, and service providers.
- Provide regular updates regarding building operations, occupancy, maintenance, resident concerns, rent collection, and property performance.
- Escalate significant operational, financial, legal, maintenance, and resident matters appropriately.
- Provide recommendations for operational improvements, repairs, resident satisfaction, and property performance.

REQUIRED QUALIFICATIONS & EXPERIENCE

- High school diploma or GED required.
- 1–2 years of customer service and/or resident retention experience required.
- Experience in residential property management, apartment management, leasing, or a related field strongly preferred.
- Working knowledge of Ontario landlord and tenant legislation and Landlord and Tenant Board procedures.
- Understanding applicable buildings, fire, health, and safety requirements.
- Experience working with residents, contractors, maintenance personnel, and service providers.
- Experience handling complaints, disputes, and sensitive resident matters is an asset.

Pay: $36,000.00-$42,000.00 per year
