The salary range for this position is $50,700 to $54,600. Final compensation will be determined based on relevant skills, experience, qualifications, and internal equity. In addition to base salary, eligible employees may be entitled to other elements of total compensation, which may include group benefits, employer RRSP contributions, and discretionary bonus or incentive programs, where applicable to the role.

As the Scheduling and Payroll Coordinator, you are responsible for workforce scheduling, timekeeping administration, attendance management, and payroll support for assigned hospital units. This role ensures appropriate staffing coverage, accurate scheduling records, and timely communication with associates and leaders while maintaining compliance with collective agreements, organizational policies, and operational requirements.

- Develop, maintain, and post workforce schedules for assigned units in accordance with collective agreement requirements and established timelines.
- Ensure scheduling practices comply with seniority provisions, overtime rules, union agreements, and operational needs.
- Coordinate staffing coverage for absences including sick calls, vacations, bereavement leave, leaves of absence, and other staffing vacancies.
- Maintain and update schedules, rosters, shift assignments, and employee availability records.
- Schedule employees within workforce management systems and ensure staffing records remain accurate and up to date.
- Review and verify employee time and attendance records to support payroll accuracy and resolve discrepancies as required.
- Enter and maintain approved vacation, bereavement, and other leave information within scheduling and timekeeping systems.
- Maintain attendance records,
employee availability, shift exchanges, and leave tracking documentation.
- Communicate schedule changes, shift assignments, staffing updates, and approved leave requests with employees and operational leaders.
- Liaise with supervisors, managers, Human Resources, Payroll, and Labour Relations to address scheduling concerns and support collective agreement administration.
- Support workforce planning activities during peak operational periods, holidays, and special projects.
- Create, maintain, and update scheduling forms, tracking tools, reports, and other supporting documentation.
- Assist with the implementation and optimization of scheduling and workforce management processes and systems.
- Maintain the confidentiality, accuracy, and integrity of employee, scheduling, attendance, and payroll-related information.

- 3-5 years of scheduling, payroll support, workforce coordination, or related administrative experience.
- Demonstrated experience scheduling large groups of unionized employees in a healthcare, hospital, long-term care, or other 24/7 operational environment.
- Strong knowledge of collective agreements, seniority provisions, workforce scheduling practices, attendance management, and overtime allocation.
- Experience working with workforce management, scheduling, timekeeping, and payroll systems, preferably UKG or similar platforms.
- Advanced proficiency in Microsoft Office Suite, particularly Excel, Outlook, and Word.
- Strong organizational, analytical, and problem-solving skills with exceptional attention to detail.
- Excellent written and verbal communication skills with the ability to build effective working relationships across all levels of the organization.
- Ability to manage competing priorities in a fast-paced environment while maintaining a high level of accuracy.
- Ability to handle highly sensitive and confidential information with professionalism and discretion.
- Post-secondary education in Business Administration, Human Resources, Payroll, or a related field is considered an asset.
- Experience working within a unionized healthcare environment is strongly preferred.
