The Office Admin Assistant reports to the National Fleet Administrative Supervisor and is responsible for a variety of tasks including answering phone calls, filing, and maintaining accurate compliance documentation.

Job Duties
Driver and Broker Hiring and Onboarding
Assist in the administration of the application process
Review and ensure all required documents have been received and uploaded to TruckRight.
Request employment verification via DAD services
Assign new driver and broker onboarding training via Truckright
Request a company email address for company drivers and update TruckRight username
Enter new company driver’s and broker’s information into Cargotel and Geotab
Enter new broker’s vehicle information in Geotab and TruckRight
Driver Compliance
Ensure all violations have been recorded in TruckRight
Review and update computer system data (Geotab, TMS, TruckRight)
Review and update driver and broker files as needed
Review and update company equipment files as needed
Vehicle Permits
Ensure all vehicle permits are up to date
Order permits and approve related invoices
Assemble new vehicle permit books
Broker Vehicle Maintenance Audits
Review broker maintenance compliance as required
Prepare and distribute finding to the National Fleet Manager
Education and Experience
High School or equivalent.
Minimum two (2) years of relevant office experience.
Computer knowledge required (Microsoft Office: Word and Excel)
Valuable interpersonal and communication skills.
Knowledge in transportation and government regulations an asset
Physical Demands
Full ability to Stand.
Ability to sit for more than 1 hour.
Full Ability to lift up to 25 lbs.
Ability to view computer screen for long periods of time.
Occasional Overtime as required.
Prolonged periods of sitting at a desk and working on a computer.
