We care. You benefit.Your Role at ManionWe are looking for a motivated and service‑oriented Front Office & Pension Communications Associate to join our Pension Services team in Woodbridge. This is an excellent opportunity for a recent graduate from a Business Administration or related program who is looking to launch their career in a professional, client‑focused environment.In this role, you will serve as the first point of contact for members and visitors while supporting key pension administration processes behind the scenes. You will play a critical role in delivering a positive member experience, supporting the intake and processing of pension applications, and ensuring the accuracy and confidentiality of sensitive information.What to ExpectServe as the first point of contact for visitors and members, providing professional, friendly, and knowledgeable serviceRespond to pension‑related inquiries and guide members through applications, eligibility requirements, and option selectionsReceive and register incoming pension applications, ensuring completeness and following up on missing informationProcess pension option packages and elections with a high degree of accuracy and attention to detailPrepare and distribute outgoing pension documentation via secure email or mailMonitor shared inboxes and respond to internal requests promptly and professionallyProvide administrative support to the Pension Services team, including document handling and schedulingAssist with coordination of meetings and events,



including support for Board meetingsMaintain an organized, professional front office environmentWhat to Expect in Your First 90 DaysIn your first 30 daysLearn our internal systems and processes for pension administrationGain an understanding of our services, clients, and member inquiriesBuild relationships with your team and key internal stakeholdersBy 60 daysHandle basic member inquiries independentlyBegin processing pension applications and assisting with option packagesDemonstrate strong understanding of documentation and workflow requirementsBy 90 daysConfidently manage front‑line interactions with members and visitorsProcess pension documentation with accuracy and minimal oversightContribute to a smooth and efficient front office and pension administration functionWhat You Bring to the TeamRecent graduate with a Diploma or Degree in Business Administration or a related field1‑2 years of customer service experience, ideally in a role involving in‑person interaction with clients or customers (e.G., retail, hospitality, banking, or office reception)Strong customer service mindset with a positive, professional demeanorExcellent communication skills (verbal and written)Strong interpersonal skills with a demonstrated ability to collaborate effectively in a shared role, maintain positive working relationships, and contribute in a team‑first environmentHighly organized with strong attention to detailAbility to manage multiple priorities in a fast‑paced environmentStrong problem‑solving skills and ability to handle sensitive situations with tactProficiency in Microsoft Office and ability to learn new systems quicklyExposure to or familiarity with using AI tools in a professional or academic setting (e.G., research, drafting communications, process support) is considered an assetAbility to speak Italian or Portuguese is considered an asset, but not requiredClient Focus: Delivers a high‑quality, responsive experience for members and internal teamsCommunication: Communicates clearly, professionally,

Individual compensation within this range is determined by factors such as job‑related skills, relevant experience, and education/training.
