The ExecutiveAssistant is responsible for the senior executive administrative supportfor the President and CEO in support of organizational objectives in a mannerthat reflects organizational values.
What success looks like
Managecomplex executive calendars, prioritizing meetings, commitments, and activitiesto optimize the Vice President’s time.
Coordinatemeetings, events, and travel arrangements, including agendas, materials,logistics, catering, venues, and participant communications.
Monitorand manage correspondence, bringing forward priority items, follow-ups, andactions requiring executive attention.
Prepare,edit, and format reports, presentations,
briefings, correspondence,spreadsheets, and other business documents.
Conductresearch and compile information to support executive decision-making andorganizational initiatives.
Serveas a key point of contact for internal and external stakeholders, responding toinquiries and ensuring professional, timely communication.
Supportdepartmental administration, including budget tracking, purchase orders,contracts, invoices, expense management, and delegated approval processes.
Handlesensitive and confidential information with discretion while managing mail,records, and documentation.
Collaboratewith the executive assistant team to provide seamless executive support,cross-training, and coverage across the organization.
Coordinateand support executive participation in meetings with government, industry, andcommunity stakeholders, as well as corporate events, committees, andcross-functional initiatives.
Qualifications
Completionofa certificate in management or another acceptable certificate.
A minimum of2 years related senior executive assistant experience.
Must beproficient in MS Word, Excel, PowerPoint, and Outlook.
Job type: Exempt, Full-Time, Temporary (up to 9 months),Hybrid
Working environment: Normal office conditions.
Marine Transportation Security Clearance The incumbent must obtain and maintain a valid Marine TransportationSecurity Clearance as this position is required to access restrictedareas/information as defined by the Marine Transportation Security Regulations.
