Compensation: Salary Range: $40,000 to $45,000 annually
What you will do: Reporting to the Supervisor of Legal Administration, the Legal and Office Administration Assistant supports the daily operations of the Legal Department and provides administrative support to all departments across the organization. Acting as the primary liaison between the Legal Support Department and the Legal Operations team, this role is responsible for reviewing, coordinating, and actioning requests and inquiries daily. They further assist with reception and general office administration functions, ensuring the efficient flow of information, documentation, and departmental processes. Additional duties and special projects may be assigned by management as required.
Your duties will include: Review, triage, and action requests received for the Legal Department through the email system (letters, claims, enforcements, default of payment, settlement, closing of cases, etc.)
Review and update various accounting reports for final review by the manager
Retrieve reports and distribute appropriately for follow-up
Work with external providers to ensure prompt delivery of legal documents to key stakeholders
Assist with the validation, procurement, and organization of supporting documentation required for legal claims
Complete office supply orders as required
Prepare and process incoming and outgoing mail, including applying postage and coordinating deliveries through Canada Post
Process and distribute correspondence, documents, and payments to the appropriate departments
Prepare and coordinate high-volume mail merge campaigns, including generating, printing, assembling, and distributing correspondence to customers and stakeholders
Additional duties and special projects as requested by management

Minimum qualifications include: Grade 12 diploma
At least two (2) years in a similar role
Excellent communication skills, both written and verbal
Advanced computer skills with Microsoft Excel, Word, and Outlook
Advanced customer service skills
Ability to multi-task and meet deadlines
Detail-oriented
Ability to pass criminal background check
Preferred qualifications Previous experience in collections and/or Small Claims Court procedures
Familiarity with court documents and processes
Previous experience working in a law firm or legal department
Experience interacting with legal professionals/defendants
Post-secondary diploma in a Legal Assistant or Office Administration Program
Bilingual in French and English
