we’d love to hear from you!Duties and Responsibilities:The key job functions are:Provide a warm and skilled first impression by welcoming visitors to the office and directing them appropriatelyMaintain a clean, organized, and inviting reception and meeting room environment to ensure a positive experience for staff and guestsCoordinate catering arrangements for meetings, events, and special functions as requiredManage the ordering and inventory of office supplies to ensure the office remains well‑stocked and running efficientlyAssist with basic financial administration, including bank deposits, invoice reconciliations, receiving and tracking payments, and monitoring the general inboxOversee incoming and outgoing mail, courier coordination, filing, photocopying, shredding, document archiving, and other day‑to‑day office administration tasksProcess membership applications, renewals, and terminations with a high degree of accuracy and professionalismCreate, maintain, and update membership records and files as neededSupport event planning and coordination, including catering logistics, menu selection, name tags and attendee materials, company swag, handouts, and event preparationProvide general administrative support to staff and members,



lending a hand wherever needed to keep operations running smoothlyTake on additional projects and responsibilities as required in support of the team and organizationEducation:High school diploma or equivalent requiredPost‑secondary education in administration, business, office management, or a related field is considered an assetQualifications:Willingness and ability to work fully onsite in a downtown Calgary office environmentExperience:Minimum of 2+ years of administrative experience requiredPrevious experience supporting or coordinating events is strongly preferredExperience within a related industry or not‑for‑profit environment is considered an assetSkills:Exceptional customer service and interpersonal skills, with the ability to build positive relationships with staff, members, and guestsStrong ability to prioritize competing demands and adapt to shifting priorities with easeSelf‑motivated, proactive, and comfortable working independently while contributing to a collaborative team environmentSupportive, approachable, and service‑oriented mindsetExceptional attention to detail with strong organizational and time management abilitiesAbility to thrive in a fast‑paced environment while maintaining accuracy and professionalismCalm, composed, and solutions‑focused under pressureResourceful, adaptable, and eager to take initiative when challenges ariseBase Salary: $50,000 – $60,000 per yearSalary based on experience and qualificationsBenefits package includedWork Hours:Monday to Friday8:00am – 4:30pm (Monday – Thursday)8:00am – 4:00pm (Friday)Additional Notes:This opportunity does not include relocation.
