Position: Export Documentation Specialist

POSITION SUMMARY
The Export Documentation Specialist is responsible for preparing, verifying, and processing all export documentation for Donald's Fine Foods, ensuring shipments meet destination country requirements, international trade regulations, and CFIA export standards. Reporting to the Export Sales & Compliance Coordinator, this role is the central point of coordination between CFIA Veterinary staff, production, shipping, sales, and freight forwarders for every export shipment leaving the Langley facility. The position also supports the broader office team with reception and general administrative duties as required.
KEY RESPONSIBILITIES
Export Documentation
Prepare, review, verify, and process export documentation, including Health Certificates, commercial invoices, packing lists, bills of lading, certificates of origin, and other required export documents.
Ensure all export documentation complies with destination country requirements, international trade regulations, and DFF policies.
Complete all time-sensitive documentation accurately and within required deadlines.
Maintain accurate and organized records of export transactions and supporting documentation.
Regulatory & CFIA Coordination
Liaise with CFIA Veterinary staff to ensure export certificates and related documents are signed, stamped, and issued correctly and on time.
Monitor and stay current with international trade laws, customs regulations, embargoes, trade agreements, and product classification requirements to ensure full export compliance.
Investigate and resolve documentation discrepancies, shipping delays, and compliance issues promptly, collaborating with internal and external stakeholders to prevent shipment disruptions or regulatory non-compliance.
Shipment Coordination
Coordinate and collect all necessary shipping and financial documentation for preparation, customer review, and approval in a timely manner.
Maintain effective communication regarding export loading schedules and documentation requirements with CFIA, production, shipping, sales, storage and loading facilities, freight forwarders, and customers.
Review export inventory and open orders to schedule export loadings and coordinate shipment timing with customers.
General Support
Support reception and general office duties as required.
Perform additional duties as assigned.
QUALIFICATIONS & REQUIREMENTS
Experience
2 to 3 years of business, export, or documentation experience, preferably in the food processing industry.
Education & Certification
High school diploma and some post-secondary education.
Computer and system literacy, including Microsoft Office and inventory/planning/scheduling systems.
Ability to multitask across a large volume of time-sensitive transactions.
Ability to work independently as well as within a team environment.
WORKING CONDITIONS
Regular hours Monday to Friday, based on an 8 hour work day.; some weekends may be required based on export loading schedules.
Flexibility required to support international shipping schedules and CFIA inspection timing.
Office-based role with an 8-hour working day plus 1 hour unpaid lunch; sitting and standing for extended periods.
Regular interaction across sales, QA, production, cold storage, and finance teams, as well as with CFIA, freight forwarders, customs brokers, and customers.
