Job Number: 55377Join our dynamic Waste Services Branch as a key Administrative Support Clerk!You'll play a vital role in ensuring our operations run smoothly by accurately managing payroll information, facilitating the essential Notification Order process, and providing crucial administrative support that underpins our daily business functions. Your precision in data entry, timely order completion, and commitment to accurate employee compensation will be the cornerstones of your success in this impactful position.What will you do?Input payroll data into PeopleSoft and ensure every employee gets the correct payroll payment each pay periodMake any changes to employee hours as requested by their supervisorsResolve payroll discrepancies with employees, their supervisors, and occasionally with the payroll team in Employee ServicesReconcile differences between employee gang sheets and payroll data in the system each pay periodUpdate spreadsheets for various areas in Waste Collection Service for tracking of daily tonnages, Key Performance Indicators (KPI), overtime, and overweight loadsCreate notification orders, update information provided by inspectors, contractors, the Customer Support Team or Waste Supervisors and distribute the created notification ordersTrack and monitor notification orders for completion, closing and distributing to Waste InspectorsReceive notification orders from supervisors and contractors for processing and/or distributionCreate new sites, update billing changes and enter information into an Active Liss, Database and Customer Information SystemProvide administrative and reception support to the ongoing operations of the business area,



including support for Branch and Department staff and general public inquiries via email, phone or in-personSchedule and organize meetings - prepare the boardroom, take minutes, and create agendasEnsure document management, retention, disposition and distribution, adhering to POPA requirementsOther duties as requiredQualifications:Complete of the twelfth (12th) school grade including business subjects with an emphasis on general office practices, or completion of an office administration certificateTwo (2) years progressively responsible related administrative experience, preferably in payroll administration and proceduresAssets:Knowledge of the Waste Services programs and services related to collection activitiesExperience working with PeopleSoft, SWCOLL, RECOLL and GeowareSkills Required for Success:Proficiency with Google applications, MS Word, and ExcelExperience compiling statistics, preparing reports, and taking and preparing minutesKnowledge of payroll practices and procedures and related collective agreementsAbility to adapt quickly to change and creatively problem solveAbility to work independently as well as within a team environmentStrong verbal and written communication skillsAbility to effectively handle sensitive information using discretionExcellent time management and organizational skillsCustomer service focused with the ability to handle various inquiriesAlignment to our Cultural Commitments and Leadership Competencies (https://bit.Ly/4brRrXm)Embracing a culture of equity, diversity, reconciliation and inclusionApplicants may be testedWork Environment:Note: This position may be eligible for a hybrid work arrangement with the flexibility to work from both home and the worksite as per the Letter of Understanding between the City of Edmonton and Civic Service Union 52The weekly hours of work for this position are currently under review and may change at a future time.
