We’re Hiring! We are currently looking to fill a full-time, permanent position for a TFW Support Representative at our Leamington ON facility.
What You'll Do:
- Responsible for scheduling doctor’s appointments for employees who request them.
- Responsible for accompanying and interpreting for employees on their medical visits. This includes a dentist, eye doctor, and sometimes the Occupational Health Nurse.
- Maintain a track of all medical appointments in a spreadsheet, keeping the reason for the doctor’s visit confidential.
- Perform bi-weekly inspections in all bunkhouses, keeping a record of inspections and informing workers and supervisors of any issue related to cleanliness.
- In charge of following up on houses that do not follow the cleaning guidelines.
- Responsible for managing Health Unit and Fire Department inspections in bunkhouses, ensuring we comply with the government requirements.
- Responsible for maintaining an inventory of all bunkhouses, including furniture, kitchen supplies, and appliances.
- Inspect fire extinguishers, emergency lights, and smoke detector alarms monthly.
- Report any concerns the workers have about housing and supplies.
- Responsible for keeping the bunkhouse’s information boards up to date.

- Keep an inventory of bedding and kitchen supplies in the tool crib.
- Be part of a rotation schedule to receive temporary workers at arrival points in Leamington or Wheatley.
- Assist with employee inquiries and complaints through the emergency line or via WhatsApp.
- Assist and follow all the procedures stipulated for the arrivals and departures of workers. This includes the pre-arrival and post-arrival processes.
- Prepare and deliver supplies for current workers and mail for worker returning.
- Responsible for scheduling appointments for renewing Health Cards/SINs and driving workers to apply for their documents when needed.
- Receive and deliver mail and packages for Temporary Workers.
- In charge of submitting maintenance work orders for the bunk houses and keeping track of the orders when finalized.
- Assist with payroll deductions in getting required signatures for deductions.
- For departing workers ensure all information has been clarified with the worker. Collect door cards and employee tags.
- Gather supplies for workers not returning within one day.
- Assist with Cintas invoices and counting uniforms when needed. Assist with regular inspections of Cintas supplies, garments, dispensers, and any other items required from Cintas. Help to do an inventory of garments per worker and promptly follow up on any complaints from the workers.
- Assist with company events, i.e. Annual Christmas Party, Employee Appreciation Event, etc.
- Participate in the rotative schedule to receive workers at the arrival/departure points in Leamington or Wheatley, often regular working hours.
- Participate in the rotative schedule to respond to all after-hour calls and prioritize matters that require attention. Resolve the identified issues and provide the appropriate follow-up. The P&C; Administrator may be required to return to the premises to address the matter based on the severity.
- Actively initiate, participate in, and support continuous improvement initiatives.
- Reporting as required by management.
- All TFW People & Culture team members must adhere to the confidentiality policy. Confidentiality is expected to be continually maintained when conducting investigative reports, disciplinary proceedings, employee inquiries, and medical appointments.
- Comply with all Health and Safety, Food Safety, Bio Security, and Nature Fresh Policies and Procedures.
- This highlights the main components but is not inclusive of other activities that may be required.
What You Bring:
- Must be proficient with Microsoft 365 applications.
- Fluency in Spanish and English is required.
- Excellent verbal and written communication skills with the ability to develop and maintain relationships of trust with individuals at all levels of the organization.
- Strong problem-solving skills required to analyze/solve problems and any unforeseen complications that could arise.
- Must be able to prioritize and multi-task while having solid organizational skills and attention to detail.
- Abilit to manage sensitive and confidential information with tact and discretion.
- Valid driver’s license and personal vehicle required.
- Available to work Monday through Saturday; after-hours may be required at times. Flexibility with work schedule is required, especially for special events, flight arrivals/departures, etc.
What To Expect:
- TFW Support Representative works Monday – Friday, on occasional holidays, and on-call weekends as needed.
- The TFW Minivan is available most of the time for the TFW Team to move from phase to phase, but on some occasions, members of the team will be requested to move on their own vehicle.
- Office setting – walking, sitting, and standing throughout the day.
- Working conditions are normal for an office environment but some responsibilities require warehouse, greenhouse (temperatures vary from hot and humid to cold) and bunkhouse work.
- Although this is an office roll, the shift will require regular walking, sitting and standing. Additionally, there will be occasional requirements for lifting, bending, pushing and pulling throughout the day.
- The TFW Minivan is available most of the time for the TFW Team to move from location to location, but on some occasions, members of the team will be requested to use their own vehicle.
- Must be able to complete all physical requirements of the job with or without a reasonable accommodation.
