Job Overview We are seeking a full-time Service Administrator in Calgary.
You will administer, track, process and coordinate purchase orders, service work orders and related documentation for the Service division.
You also ensure information is accurate, complete and consistently maintained, while supporting timely billing, work order completion, documentation management and communication with builders, homeowners, trades and internal team members.
Your day-to-day responsibilities will include: Processing, pricing, creating and tracking EPO and PO requests for the Service division.
Monitoring incoming, outstanding and completed POs to support timely processing, billing and follow-up.
Reviewing completed work, supporting documentation, photos, emails and notes for accuracy before processing.
Resolving PO, EPO, invoice, billing and work-order discrepancies with builders, internal team members and other stakeholders as required.
Ensuring completed POs, EPOs, work orders, values and related updates are properly entered and maintained in Job
Schedule, Plexxis and Supply
Pro.
Reviewing the Service Billing Report and following up on unbilled work, missing documentation or outstanding approvals.
Tracking warranty-related POs through Supply
Pro and maintaining accurate records for service and warranty work.
Approving, completing, updating and troubleshooting incoming service work orders as required.
Assisting with creating and entering current service or warranty jobs in Job
Schedule and Plexxis.
Providing backup support to the Service Coordinator by creating, managing, scheduling and closing deficiency work orders when required.
Monitoring and responding to the service inbox and communicating with builders, homeowners, trades, suppliers and internal team members as needed.
Supporting service coordination activities, including trade scheduling, repair coordination, Supply
Pro updates, completion uploads and inspection report administration.
Essential Requirements High school diploma, or equivalent.
Minimum of 1 year of experience in construction, warranty coordination or service administration, preferably in insulation, drywall, tape or texture trades.
Experience with data entry, preferably in drywall or construction products.
Proficient in Microsoft Office programs (Outlook, Word, Excel, Teams, Share
Point and Power
Point), Supply
