Job Summary The mission of the Department of Medical Neuroscience is to foster research and education in neuroscience and human anatomy and to advance the understanding and treatment of diseases of the nervous system. Reporting to the Department Administrator the Administrative Assistant provides clerical and administrative support to the Department of Medical Neuroscience.
Key Responsibilities
- Coordinate and support the department’s seminar program, including scheduling guest speakers, managing travel logistics, preparing promotional materials, coordinating event technology, and organizing related student engagement activities.
- Process and administer travel and reimbursement claims for faculty, students, external guests, and other claimants through Chrome River, ensuring accuracy, compliance, and timely resolution of issues.
- Maintain departmental records, distribution lists, SharePoint content, and documentation, while providing administrative support for meetings, projects,
and departmental operations.
- Coordinate departmental events and activities by arranging venues, catering, communications, supplies, and logistics to support successful program delivery.
- Manage printing, copying, and office supply requirements, including the preparation of instructional, examination, and other departmental materials.
- Support the development and maintenance of the department’s website and SharePoint environment by updating content, managing permissions, providing user support, and ensuring compliance with records management and privacy requirements.
Note Due to operational requirements, the successful applicant is required to work in-person on campus.
Required Qualifications
- Business/Administrative Professional program with three years’ previous experience working in an office environment (or an equivalent combination of training and experience).
- Excellent communication and organization skills.
- Proven attention to detail and the ability to work independently.
- Proficiency in MS Office.

- Experience with Faculty of Graduate Studies ( FGS ) system, academic timetable, academic calendar
