POSITION SUMMARY The Office Administrative Support position is a temporary part-time position of up to one-year, that will be re-evaluated after 6 months, and has the potential for extension.

This role is primarily responsible for working with the Registration department to digitize the existing Registration files. Central to this will be the objective of reducing the onsite storage footprint while ensuring the active files are thoroughly, completely, and accurately scanned and named according to the approved naming convention. From there, they are responsible for moving them into the appropriate digital folder.

Digital folders may need to be created if one does not exist. Keeping accurate records of the files and tracking what files have been scanned and to where, is a vital part of the project.

This position requires a high degree of professionalism and confidentiality, and they must exercise initiative and judgment in handling routine and non-routine confidential information. The individual must demonstrate a strong commitment to the Association’s values and beliefs, as well as assist in creating a positive and skilled working environment.

ELIGIBILITY To be considered for this position, you must meet the eligibility requirements for interns in the Alberta Youth Employment Initiative program.

- Aged 15 to 24.
- An Alberta resident.
- Either a Canadian citizen or a permanent resident.

You must also meet our internal eligibility:
- Be available for a consistent 5-15 hours per week between Monday and Thursday (at your selection), during a standard 9-5 work week.

The following tasks, duties, and responsibilities are the essential functions of this job:

General

- Use of Word, Excel, ScanSnap and database software to prepare trackers, reports, memos, and other documents as required.
- Attend and assist with AAA functions or projects, as required.

Project Support:
- Supporting the work needed for reducing the physical file footprint.




- Archive and/or destroy inactive registration files as per the AAA’s File Retention and Destruction Policy. This may include other files no longer required.
- Scan, all active physical registration records to the approportionate electronic file and maintain a record.
- Maintain accurate record keeping of the files, documents, and records.

Education & Experience:
- Certificate or diploma in Office Administration is preferred, but equivalent experience will be entertained.
- A minimum of two (2) years’ experience in an administration capacity.
- Knowledge of general office procedures, records management, office equipment, administration, etc.
- Intermediate to advanced knowledge of MS Office, scanning processes (I.e. scansnap), RIM experience would be an asset.
- Must speak, read, and write English fluently.

- A capacity to work in a self-directed manner with minimal supervision.

Working Conditions:
- Stamina to spend long hours sitting and using computer.

Pay: $18.00-$24.00 per hour
