Program Summary
CAES assists job-seekers to overcome barriers, understand workplace culture and fill the personnel needs of inclusive employers in Calgary.
CAES works with each client to identify their ideal work setting and employment support needs. Job interviews and employment placement are facilitated in accordance with the client’s goals. We then provide ongoing follow-up support to both the client and the employer in order to strengthen their skills and working relationship as well as ensure job satisfaction and retention.
Job Summary The Calgary Alternative Employment Services (CAES) Assistant Program Coordinator shares program management roles and responsibilities to ensure effective administration and implementation of the Calgary Alternative Employment Services Program (in accordance with CASS philosophies, policies and procedures – and outcomes and expectations of our funders and clientele.) Specific attention is devoted to Human Resources coordination and administration, management and coordination of client intake, office management, and program communications.
Key Responsibilities:
Direct Reports The CAES Assistant Program Coordinator is expected to support CAES staff as follows:
- provide direction, feedback, and problem-solving assistance
- communicate program/agency policy when required
- assist in CAES human resource management
- assist in addressing staff development
- ensure that program policies and procedures are aligned with client needs and abilities
- review quality of service delivery model to ensure clients are benefitting in a meaningful way
- advocate and support clients in their employment journey
It is also an expectation that activities in this area will be communicated to the Program Manager to ensure consistency in program and Human Resources management.

Administration/Management
Specific Duties Include
- Address all elements of intake coordination including:
- Accept and respond to program inquiries and referrals (phone, e-mail, direct)
- Track all program referrals in spreadsheet – sorting by funder
- ‘Triage’ and assign referrals based on program vacancy and service ‘match’
- Ensure contract ‘vacancies’ and required client numbers are addressed
- Advise Program Manager and Chief Executive Officer of any issues around intake/caseload ‘flow’ and promotion
- Attend intake/information meetings to assess support needs and provide program information
- Liaise with relevant funders and other necessary parties (as per CAES protocols), to process intakes and ‘exits’
- Update CAES client lists and tracking sheets with intake/exit information
- Human Resources Coordination – recruitment, evaluations, liaising with CASS HR
- Project/Contract Management – as assigned/required
- Management and implementation of program’s communications and marketing strategy including website and social media platforms
- Ensure articulation and consistency of CASS/CAES brand in all formal program communications
- Ensure that CAES website content is accurate and current
- Assist in the management of program brochures and print materials
- Assist Program Manager to develop, process and implement program planning
- Assume Interim Program Manager role in the Program Manager’s absence
Meetings/Communications The CAES Assistant Program Coordinator engages in extensive internal and external interactions and communications. A high degree of professionalism and sensitivity is required of the CAES Assistant Program Coordinator. Participation in the following communication mechanisms is required:
- Client intake / informational meetings
- CAES team meetings
- Agency and Program Planning meetings
- Standing and ad hoc CASS Committee meetings
- Inter-agency Vocational meetings

- Demonstrate the agency values in all day to day interactions and tasks with colleagues, clients and community members
- Actively participate in and champion agency culture and change management initiatives with positivity and adherence
- Adhere to and encourage participating in the agency health and safety program through leading by example
- Champion initiatives being rolled out by the Senior Leadership Team
Required Education
- A degree or diploma in the Human Services sector or a related field, (or commensurate experience) is required
Other Required Skills
- A vehicle and valid driver's license are considered assets
