Position Summary The Campus Manager is responsible for the overall day-to-day operation, administration, and coordination of the campus. This is a hands-on position within a small college environment, where the successful candidate must be comfortable managing multiple responsibilities, changing priorities, and a wide range of administrative and operational tasks.
The Campus Manager must be highly organized, analytical, resourceful, and able to work independently. The position requires someone who can read, understand, interpret, and apply contracts, policies, procedures, and regulatory requirements, identify potential issues, and make sound decisions within their authority.
Because this is a small college, the Campus Manager is expected to be a multi-tasker and problem solver who is willing to step into different areas of the college when needed. The individual must be able to move between student matters, staff support, administration, compliance, operations, documentation, and management responsibilities throughout the day.
The Campus Manager serves as a key link between college management, staff, faculty, students, and external parties and is expected to maintain a professional, organized, and student-focused campus environment.
Key Responsibilities1. Campus Operations
- Oversee the daily operation of the campus and ensure that the campus functions efficiently and professionally.
- Coordinate administrative, operational, and student-related activities.
- Monitor the campus environment and address operational issues promptly.
- Ensure classrooms, offices, common areas, and other facilities are maintained appropriately.
- Coordinate with landlords, contractors, suppliers, service providers, and other external parties as required.
- Monitor office and campus supplies and arrange purchasing when necessary.
- Identify operational problems and recommend practical solutions.
- Ensure that campus procedures are being followed consistently.
1. Administration and Organization
- Manage and prioritize multiple administrative responsibilities on a daily basis.
- Maintain organized and accurate records, files, reports, and documentation.
- Review administrative processes and identify opportunities for improvement.
- Prepare reports, summaries, correspondence, and other documentation for management.
- Track deadlines, renewals, follow-ups, and outstanding matters.
- Ensure that important tasks and commitments are followed through to completion.
- Support management with special projects and other administrative responsibilities as required.
1. Analytical Skills and Decision-Making
The Campus Manager must have strong analytical and problem-solving abilities.
Responsibilities include
- Review information, identify key issues, and determine appropriate next steps.
- Analyze administrative and operational situations before making decisions.
- Identify discrepancies, inconsistencies, missing information, and potential risks.
- Review data and records to identify trends or concerns.
- Investigate problems and gather relevant information before escalating matters to management.
- Develop practical solutions to operational and administrative challenges.
- Use sound judgment when dealing with students, staff, vendors, and external parties.
- Recognize matters that require management approval and escalate them appropriately.
1. Contracts, Policies and Compliance
The Campus Manager must be comfortable working with formal documents and must have the ability to read and interpret contracts, policies, procedures, and other institutional documentation.
Responsibilities include:
- Read and interpret contracts, agreements, policies, procedures, and related documents.
- Ensure that campus practices are consistent with applicable college policies and contractual obligations.
- Monitor important dates, deadlines, renewal dates, and requirements contained in agreements.
- Identify unclear, inconsistent, or potentially problematic language and bring it to management's attention.
- Ensure staff are following established policies and procedures.
- Assist management with implementing new policies and procedures.
- Maintain records demonstrating compliance with required processes.
- Escalate legal, contractual, regulatory, or high-risk matters to senior management or the appropriate professional.
The Campus Manager is not expected to provide legal advice but must be able to understand documents, identify potential concerns, and know when a matter requires further review.
1. Student Services
- Oversee the day-to-day student experience on campus.
- Respond to student concerns and administrative questions professionally and fairly.
- Assist students with administrative issues and direct them to the appropriate department when necessary.
- Monitor student-related administrative matters and ensure appropriate follow-up.
- Assist with registrations, enrolments, withdrawals, transfers, reinstatements, and other student processes as required.
- Ensure student files and documentation are maintained accurately.
- Address student concerns within the Campus Manager's authority and escalate more serious matters appropriately.
- Maintain a professional and respectful campus environment.
1. Staff and Faculty Coordination
- Provide day-to-day administrative support and direction to staff as required.
- Coordinate communication between departments, instructors, and management.
- Monitor whether administrative procedures are being followed.
- Assist with scheduling, staffing coordination, meetings, and campus activities.
- Address routine staff operational concerns and escalate significant issues to management.
- Support staff in understanding and following college policies and procedures.
- Encourage accountability, professionalism, teamwork, and effective communication.
1. Admissions and Enrollment Support
- Support the admissions and enrollment process when required.
- Ensure required student documentation is collected, reviewed, and properly maintained.
- Monitor outstanding documentation and follow up as necessary.
- Assist with student onboarding and orientation.
- Ensure enrollment-related administrative procedures are followed consistently.
- Work with admissions and student services staff to resolve issues or discrepancies.
1. Financial and Administrative Oversight
- Assist with administrative aspects of tuition and fee collection.
- Monitor administrative financial records and identify discrepancies when applicable.
- Review invoices and supporting documentation as assigned.
- Assist with purchasing, vendor coordination, and expense tracking.
- Ensure appropriate approvals are obtained before expenditures are made.
- Maintain accurate records of financial and administrative transactions within the scope of the position.
- Escalate financial discrepancies or concerns to management.
1. Human Resources and Staff Administration
- Assist management with routine staff administration.
- Maintain appropriate staff documentation and records.
- Assist with onboarding and offboarding processes.
- Monitor staff attendance, schedules, and administrative requirements as assigned.
- Support management with performance documentation and workplace issues when required.
- Maintain confidentiality when handling employee information.
1. Communication and External Relations
- Act as a professional representative of the college when dealing with students, staff, visitors, vendors, and external organizations.
- Respond to inquiries in a timely and professional manner.
- Draft and review professional correspondence.
- Communicate management decisions and operational instructions clearly.
- Maintain positive working relationships with external service providers and partners.
- Ensure important information is communicated to the appropriate individuals in a timely manner.
1. Problem Solving and Crisis Management
- Respond calmly and professionally to unexpected situations.
- Assess situations quickly and determine appropriate action.
- Address routine campus problems independently when within the scope of authority.
- Escalate emergencies, serious complaints, safety concerns, legal matters, or significant operational issues promptly.
- Document significant incidents and actions taken.
- Assist management with developing preventative measures to reduce recurring problems.
Required Qualifications and Skills The successful candidate should have:
- Previous experience in campus administration, education administration, office management, operations, or a related field.
- Strong analytical and problem-solving skills.

Small College Environment This position requires flexibility. The Campus Manager will not be limited to one specific area of the college and may be required to assist with responsibilities outside their normal duties when operationally necessary.
The successful candidate must be comfortable saying, “This needs to be taken care of,” and then determining the appropriate steps to resolve the matter.
The Campus Manager should be prepared to:
- Answer a student inquiry in the morning and review a contract in the afternoon.
- Assist staff with an administrative issue while also managing campus operations.
- Review a policy and determine how it applies to a particular situation.
- Handle several competing priorities while maintaining accuracy.
- Step in and provide support to different departments when required.
- Work collaboratively with management while also taking ownership of day-to-day decisions.

Key Note The Campus Manager is a key operational position within the college. Because of the size of the institution, the successful candidate must be willing to wear multiple hats and take responsibility for a broad range of administrative and operational matters.
This position is best suited to someone who is proactive, analytical, organized, practical, and comfortable making decisions, while also understanding when an issue should be referred to senior management.
Pay: $22.00-$24.00 per hour
