Nature of the Work & Responsibilities

NATURE OF THE WORK:

The principal and customary work of the employee in this employment class consists in performing a set of administrative functions of a relatively complex nature according to established methods and procedures and clerical functions related to activities in this area. Specifically, the individual will be supporting regular credit pre-university activities and CECS reception.

CECS responsibilities will also include evening credit division, AEC, non-credit, corporate training, and other dossiers.

RESPONSIBILITIES:

Administrative support responsibilities:

o Prepare and update hiring and contract documentation o Liaise with departments, Human Resources and Finance about teacher absences, substitutions, contracts, etc.

o Post information and class cancellation notifications o Support the preparation, distribution, and processing of confidential teacher evaluations o Assist with the coordination of make-up exams o Distribute information to students and teachers

Reception responsibilities:

o Member of the reception workgroup o Greet, screen and direct general public, corporate clients, students, and faculty to the appropriate person/information o Respond efficiently and effectively to inquiries about CECS course offerings (by phone or in-person)

o Assist in admission and course registration, including payment collection, interview scheduling, testing, etc.

- Perform other related tasks as required

Qualifications & Conditions

QUALIFICATIONS:





To have a diploma of vocational studies (DEP) with appropriate specialty or a secondary school diploma (DES) or a diploma or attestation of studies, which is recognized as equivalent by the competent authority and at least one (1) year of pertinent experience.

CONDITIONS:

- Intermediate Microsoft Excel and Word skills (testing will be required)
- Advanced English communication skills, written and spoken (testing may be required)
- Advanced knowledge of French, spoken (testing may be required)
- Intermediate knowledge of French, written (testing may be required)
- Solid customer service skills
- Ability to multi-task and handle a high volume of activity
- Excellent interpersonal & organizational skills
- Ability to work in a team setting as well as independently, to problem-solve and exercise sound judgement.
