We are seeking an organized, confident, and customer-focused Compound Coordinator to join our team at Astro Towing.

The Compound
Coordinator is responsible for the day-to-day coordination of vehicles stored in our compound, including assisting customers, managing vehicle access and pick-up, processing payments, and maintaining accurate documentation. While vehicles are in our care, this position helps ensure they remain secure and are only accessed or released when the proper requirements have been met.

Coordinator requires excellent customer service and the confidence to remain calm, professional, and firm when situations become challenging.
While Astro Towing operates 24 hours a day, seven days a week, this position follows a Monday through Friday schedule, working 10:00 am to 6:30 pm.
Key Duties and Responsibilities
- Greet and assist customers at the front counter and respond to compound-related calls in a friendly, professional, and confident manner.
- Monitor and coordinate vehicles stored within the compound, ensuring their status, documentation, and required follow-up remain accurate and up to date.
- Coordinate customer access to and pick-up of vehicles, clearly explaining requirements and confirming the proper authorization and documentation are in place before proceeding.
- Confirm vehicles are cleared for release, process applicable payments, and ensure all required paperwork is complete before releasing a vehicle.
- Follow all required procedures for vehicle access and release, ensuring vehicles in our care remain secure and are not accessed or released without proper authorization.
- Maintain accurate compound records, review storage entries for missing or incomplete information, and complete required documentation in a timely manner.
- Monitor vehicles stored for extended periods and complete required follow-up with owners, insurance companies, or other parties to work toward retrieval or resolution.
- Monitor vehicles that may be eligible for sale or auction and ensure required paperwork and related steps are completed, including communicating with management.
- Provide professional and responsive service to police agencies, SGI, out-of-province insurance companies, and other business partners.
- Handle difficult or emotional customer interactions calmly and professionally, clearly explaining requirements and working to resolve concerns whenever possible.
- Assist the Call Centre with incoming customer calls during periods of high call volume or when additional support is required.
- Work collaboratively with the Call Centre, dispatchers, operators, management, and other team members to keep daily operations running smoothly.
- Perform other duties as assigned or required.
Competencies Required
- Minimum of 1–2 years of customer service experience.
- Robust verbal and written communication skills.
- Compassionate and confident when dealing with customers,
with the ability to show empathy while clearly communicating requirements, boundaries, and sometimes difficult information.
- Able to remain calm and professional in challenging situations, de-escalating upset customers and working toward solutions while being firm without being confrontational.
- Strong attention to detail, with the ability to accurately review, collect, and document significant information.
- Organized and able to manage multiple tasks, follow-ups, and priorities.
- Comfortable taking ownership of responsibilities and making decisions within established procedures.
- Able to quickly learn and consistently follow new systems, procedures, and requirements.
- Proficient with computers and comfortable using Microsoft Outlook, Word, and Excel.
- Able to communicate professionally with customers, police agencies, insurance companies, and other business partners.
- Reliable, team-oriented, and willing to provide support in other areas when needed.
- Committed to providing excellent customer service while representing the company with professionalism and integrity.
