The Condominium Manager will be responsible for the following duties:
- Coordinate the administrative operations of the condominium corporation by implementing operational procedures, monitoring compliance, and supporting the effective delivery of property management services.
- Manage administrative services relating to building operations, maintenance programs, service contracts, procurement activities, and contractor performance.
- Develop, implement, and monitor preventative maintenance programs for building systems, including HVAC, elevators, and fire safety equipment.
- Administer operating budgets, monitor expenditures, approve invoices, and collaborate with accountants in preparing financial reports and reserve fund planning.
- Act as the primary liaison between the Board of Directors, unit owners, residents, contractors, and external stakeholders.
- Coordinate and attend Board meetings, prepare management reports, agendas, meeting materials, and ensure accurate minutes and follow-up on Board decisions.
- Ensure compliance with health and safety legislation, fire code requirements, condominium bylaws, and corporate policies.
- Coordinate procurement activities, including tendering, contract negotiation, vendor selection, performance monitoring, and contract administration.
- Coordinate the resolution of resident inquiries, complaints, and administrative requests while ensuring compliance with established company policies and service standards.
- Maintain corporation records and documentation, including owner files, contracts, bylaws, rules, maintenance records, and administrative files.
- Establish work priorities, monitor administrative workflows, and implement process improvements to enhance operational efficiency and service delivery.
- Oversee capital projects and building improvements by coordinating contractors, monitoring budgets, timelines, and quality standards.
- Prepare and distribute resident communications, operational notices, newsletters, and administrative updates.
- Provide leadership and supervision to on-site administrative, concierge, maintenance,
and support staff to ensure efficient service delivery and compliance with company procedures.
Qualifications:
- Post-secondary education in business administration, property management, real estate, or a related field.
- Must hold a valid Condominium Management Regulatory Authority of Ontario (CMRAO) Licence (Limited or General, as applicable). Limited Licence holders must work under the supervision of a General Licensee in accordance with applicable Ontario requirements.
- Minimum 2 years of related experience in condominium/property management, building operations, or a closely related field.
- Strong knowledge of condominium operations, property management, building maintenance, and preventive maintenance programs.
- Excellent communication and interpersonal skills to effectively work with Boards of Directors, residents, contractors, and stakeholders.
- Strong leadership, organizational, and supervisory skills to manage staff, projects, and daily operations efficiently.
- Knowledge of condominium legislation, health and safety regulations, fire code requirements, and regulatory compliance.
- Effective problem-solving, conflict resolution, and customer service skills to address resident concerns and operational challenges.
