- Position: Corporate Host - existing opening
- Position Type: Full-time, Permanent
- Location: Toronto Downtown
- Schedule: Monday to Friday – 08:00 AM to 4:00 PM
- Hours: 40 hours per week
- Pay rate: $22.65/ hour
Education and Pre-requisites:
- Diploma or Degree in Hospitality, Travel & Tourism Management, Customer Service certification or the completion of other post-secondary education is an asset.
- Minimum of 2 to 3 years of experience in a Concierge capacity.
- A proven record of experience supervising Concierge teams and/or functions and/or supervision of staff. Six months to 1 year is an asset.
- Security License is no required for this role
Skills & Knowledge
- A fundamental knowledge of state-of-the-art Concierge operations such as use of Tenant Services web sites (ex. Angus), Eservus, Visitor Management Systems, communications technologies, and general MS software programs.
- Excellent personal computing skills to include all office related products and familiarity with specialized Concierge applications.
- Working knowledge of Property Management operations.
- Excellent leadership skills.
- Excellent organizational and administrative skills with an emphasis on multi-tasking under very stressful situations.
- Excellent interpersonal skills and ability to maintain professional demeanor under very stressful situations.
- Must be self-motivated and consistently show initiative.
- Must have an energetic and positive personality.

Major Responsibilities:
- Serve as a direct conduit of communication between Property Management and Paragon to Concierge staff and the other way around.
- Serves as main liaison between Concierge and other departments e.g., Security Team and/or Tenant contacts.
- Ensure desired standards are met at acceptable level of quality in relation to staff performance, deportment and service provided.
- Promptly communicate and escalate all performance or service-related issues to Oxford and Paragon.
- Ensures that Concierge operations occur consistent with policy, Standing Orders and rule of law.
- Supervises, coaches and is responsible to ensure all staff are uniformed as per the standard while on-duty.
- Responsible for coordinating and documenting general training of all Concierge personnel working on site.
- Responsible for overseeing new candidate training to include training performed by other full time Concierge staff.
- Responsible for documenting and reporting all instances to Paragon Leadership whereby a new candidate during their probationary period is not performing to Oxford standard and as such may not be eligible for continued placement at the site.
- Ensures that use of the Visitor Management System is properly completed in a manner consistent with site policies and protocols.
- Ensure the accurate completion of work force timesheets by emailing any schedule changes and/or adjustments to Paragon Scheduling department.
- Ensure that the whole site and Paragon policies pertaining to Concierge conduct and professional standards is applied and violations are reported in a timely manner to Paragon senior leadership for disciplinary action in a consistent manner and for all instances.
- Assess the criticality and impact of incidents, works closely with other stakeholders, and takes action to mitigate business impact during any events out of normal which may affect normal operation of Concierge staff.
- May assist with investigation and employee/tenant misconduct.
- Identifies Concierge awareness deficiencies and makes recommendations as appropriate.
- Regular auditing of computers, pass cards and Concierge equipment. Reporting visitor pass card supply to Oxford Management before it gets low to ensure timely replenishment.
- Ensures prompt communication with the vendor (Paragon) regarding any staffing shortages or receiving notice of employee book-offs if received in person.
- Administrative duties pertaining to Human Resource issues in compliance with site and Paragon policy and professional conduct standards.
- Coordinates and manages assistance to the Tenant Services team as is required from time to time.
- Maintains a strong understanding of property rules, policies and procedures relating to the building common areas. Acts as the “eyes and ears” for the Property Management staff and ensures that any issues are communicated to the appropriate departments quickly as necessary.
- Monitors special events taking place in the common areas and ensures that any issues are communicated to the appropriate departments quickly as necessary.
- Maintains a good understanding of the PlusOne (Angus) work order system.
- Conduct a quarterly Standing Order review as a minimum and work with Paragon and Oxford Property Management to complete necessary updates. Ensure Concierge staff review Standing Orders to include the updates, acknowledging that they understand the material.
- Prepare a daily documented briefing to provide to Concierge staff to provide information regarding daily activities, updates to policy and procedure etc.
- Complete Special Passing Attentions (SPA’s) to be written and provided to Concierge staff detailing information that is only relevant on a short-term basis and is not documented in a Standing Order.
- Audit and update information contained in binders that are available at the Concierge Desk, removing information that is no longer relevant. To include Tenant and building personnel contact information.
- Other duties and project work as assigned.
