Position Overview The Customer Experience Associate is responsible for providing consistent, continuous, and professional coverage of the Jack's Car Spa Retail Centre and Front Desk during operating hours. As the first point of contact for all customers, this role is critical to ensuring guests are welcomed promptly, assisted efficiently, and never left waiting for service. In addition to maintaining front desk coverage, the Customer Experience Associate coordinates detailing appointments, supports customers using tunnel wash and self-serve services, processes transactions, and contributes to an exceptional overall customer experience.
Administrative and business development activities are completed during quieter periods, provided they do not interfere with the primary responsibility of customer service and front desk coverage.
Primary Duties & Responsibilities
Customer Service & Front Desk Operations
- Welcome and assist customers using detailing, tunnel wash, self-serve, and retail services.
- Answer incoming calls and respond to inquiries regarding pricing, packages, services, and wait times.
- Process payments, memberships, gift cards, and other transactions accurately.
- Address customer concerns and escalate issues when necessary.
- Maintain a clean, organized, and professional reception and waiting area.
Detail Bay Coordination
- Manage the daily detail bay schedule, including appointment confirmations, vehicle arrivals, and status updates.
- Receive customer vehicles, collect keys, complete intake documentation, and ensure secure key management.
- Coordinate with detail technicians regarding priorities, special requests, and estimated completion times.
- Monitor work progress and proactively communicate vehicle status updates to customers.
- Coordinate vehicle pickup and release,
ensuring payment verification and a positive customer experience.
Administrative Support
- Maintain accurate records of detailing services, customer notes, vehicle intake information, and customer feedback.
- Assist with shift reporting, service documentation, and other administrative tasks as required.
- Monitor inventory levels of retail products and office supplies and notify management of shortages.
Safety & Operational Excellence
- Maintain cleanliness, safety, and brand standards throughout customer-facing areas.
- Support overall site operations and perform additional duties as assigned.
- Contribute to a positive customer experience while supporting team efficiency and productivity.
Business Development Support
- Research and compile prospect lists for fleet, dealership, property management, and corporate accounts.
- Support the preparation of sales materials, pricing information, and outreach communications.
- Track leads, customer interactions, and follow-up activities within designated systems.
- Assist with scheduling meetings, site visits, and trial services for prospective commercial customers.
Qualifications & Essential Skills
- Outstanding customer service skills with a friendly, professional, and service-oriented approach.
- Strong organizational and time-management abilities with the capacity to manage multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- Proficiency with point-of-sale systems, scheduling software, Microsoft Office, Google Workspace, and basic spreadsheets.
- Ability to work independently while collaborating effectively with team members.
- Reliable, punctual, and adaptable in a fast-paced environment.
- Strong attention to detail and commitment to accuracy.
Experience
- Previous experience in a customer service, front desk, hospitality, retail, automotive, or service-based environment is preferred.
- Experience coordinating appointments, schedules, or customer service workflows is considered an asset.
- Experience with CRM systems,
appointment scheduling software, or point-of-sale systems is an asset.
Education
- High school diploma or equivalent required.
- Additional training in business administration, customer service, hospitality, or related fields is considered an asset.
Work Schedule
- Full-time position, up to 40 hours per week
- Car Spa is open 7am to 9pm, 7 days a week during the summer months with reduced hours during the cooler seasons
- Team members must be available to open for at least one shift per week and close for at least two shifts per week.
Working Environment
- Combination of indoor office/front desk duties and outdoor operational areas.
- Fast-paced customer service environment with frequent interaction with customers and staff.
- Ability to stand and walk for extended periods.
- Ability to occasionally lift up to 25 lbs.
- Valid driver's license with a clean driving record is considered an asset for occasional vehicle movement.
