We are seeking an experienced Dispatcher to join our team. The Dispatcher is responsible for coordinating fuel deliveries, communicating with drivers and customers, and ensuring deliveries are completed safely, efficiently, and on schedule.

The successful candidate will have previous dispatch experience, strong organizational and communication skills, excellent attention to detail, and the ability to work effectively in a fast-paced environment.

It should be noted that while the list of duties and responsibilities may not be complete and the requirements of each location may dictate variations it does represent the overall requirements of the job.

Shift: 10/5 - on call well on shift.

Duties and Responsibilities

● Receive and coordinate fuel orders from customers by phone, text, and email.

● Create and review daily delivery schedules.

● Dispatch fuel loads for oilfield, agricultural, commercial, and in-town customers.

● Work closely with drivers to ensure deliveries are completed safely, accurately, and in a timely manner.

● Monitor driver progress and make schedule changes as required.

● Ensure drivers maintain efficient work schedules and complete assigned deliveries.

● Maintain journey management documentation and ensure dispatch sheets are completed accurately.

● Maintain accurate daily logs of communications, activities, schedule changes, and other relevant dispatch information.

● Encourage and monitor the timely submission of accurate truck reports, maintenance records, and daily vehicle checks.

● Ensure drivers follow established loading, unloading, and other safety procedures.

● Maintain accurate crossover notes and provide clear communication to fellow dispatchers.

● Coordinate with yard, shop, and oil warehouse personnel.

● Order fuel for the bulk tank farm and cardlock on a daily basis.

● Monitor tank levels and schedule fuel loads as required.

● Track railcar numbers and communicate with the railyard to arrange the release of cars as needed.





● Coordinate with other Max Fuel locations when required.

● Arrange driver training and maintain required documentation for refinery access.

● Complete daily administrative duties, including emails, answering phones, customer service, delivery documentation in WTBS, customer call sheets, record keeping, and tracking customer locations.

● Assist with bulk fuel and oil sales, CTOs, spot checks, and other operational requirements.

● Maintain a clean and organized dispatch area.

● Safeguard company assets and support the safe operation of company vehicles and equipment.

● Maintain awareness of worksite, delivery site, and road conditions and communicate safety concerns as required.

● Be prepared to work additional hours when necessary to meet operational requirements.

Qualifications and Skills

● Previous dispatch experience is required.

● Experience in fuel, oilfield, transportation, logistics, or a related industry is considered an asset.

● Robust organizational and time-management skills.

● Excellent communication and customer service skills.

● Strong attention to detail and accuracy.

● Ability to prioritize and manage multiple tasks in a fast-paced environment.

● Ability to make sound decisions and adjust schedules quickly when conditions change.

● Strong computer skills and the ability to learn and utilize company systems, including WTBS.

● Ability to work effectively with drivers, customers, and other departments.

● Strong understanding and commitment to workplace and transportation safety.

● Must be mentally and physically prepared to perform the duties of the position and work additional hours when required.

Job Type: Full-time

Pay: $70,000.00-$85,000.00 per year
