About Us
White Owl IT Group is the dedicated managed service provider for the White Owl group of companies. We deliver IT infrastructure, support, and business systems solutions exclusively to White Owl portfolio companies, ensuring the technology that powers their operations is secure, well-configured, and aligned with how their teams work.
Position Overview The ERP Specialist is responsible for supporting systems across a broad portfolio of business applications spanning finance, workforce management, fleet operations, driver safety, and field operations. This role ensures that supported systems are secure, well-configured, and operating in alignment with business processes. Key areas of ownership include user security and access management — including onboarding and offboarding — application configuration, workflow maintenance, and integration documentation.
The role participates in the implementation of new business systems and works closely with end users through scheduled engagements and on-site visits to stay connected to evolving business needs. The ERP Specialist also supports the Business Intelligence team by ensuring they have the system access and resources needed to deliver effective reporting, and acts as the primary liaison with application vendors on capability updates and current releases.
Key Responsibilities
Application Support & Configuration
- Maintain security, configurations, and workflow processes across all supported applications.
- Review and manage user roles and access rights, ensuring each user has the permissions required to perform their role — and nothing beyond that.
- Troubleshoot system issues reported by end users and coordinate resolution in a timely manner.
Documentation
- Create and maintain comprehensive documentation of business workflows and data flows, both within and between supported applications.
- Ensure documentation captures all integration touchpoints — systems that push or pull data — providing full visibility into downstream impacts across departments and processes.
- Keep all documentation current as processes, configurations, and integrations evolve.
End User Engagement
- Build and maintain scheduled touchpoints with end users to review processes, surface issues, discuss new initiatives, and manage process changes.
- Conduct regular on-site visits to client locations to strengthen relationships and gain direct insight into how systems are used in practice.
Security
- Manage user onboarding and offboarding across all supported systems, ensuring access is provisioned promptly for new employees and revoked in a timely manner when employees leave or change roles.
- Review and maintain user roles and access rights on a regular basis to ensure permissions remain appropriate and aligned with each user's current responsibilities.
- Identify and remediate gaps where users have excess access or insufficient access to perform their job functions.
Reporting
- Support the Business Intelligence (BI) team by ensuring they have access to the system resources, data, and documentation needed to develop and maintain reports effectively.
System Implementation
- Participate in the evaluation, planning, and implementation of new business systems, including requirements gathering, configuration, testing, and go-live support.
- Collaborate with project stakeholders and vendors to ensure new systems are deployed in alignment with business processes and integration requirements.
- Support change management activities during implementations, including end-user training and transition documentation.
Vendor Liaison
- Act as the primary point of contact with application vendors on matters related to system capabilities, roadmap, and upcoming releases.
- Review release notes and new feature announcements, assess impact to current configurations and workflows, and communicate relevant changes to system users clearly and in a timely manner.
Required Qualifications
- 3+ years of hands-on experience supporting, configuring, or administering business applications in an ERP or MSP environment.
- Demonstrated experience with at least two of the supported platforms (Dayforce, Sage, Business Central, or similar).
- Solid understanding of core business processes including finance, HR, procurement, and expense management.
- Experience creating and maintaining business workflow and data/integration flow documentation.
- Strong interpersonal and communication skills — comfortable facilitating process reviews with end users and translating technical changes into plain business language.
- Ability to manage multiple client environments and competing priorities concurrently.
Preferred Qualifications
- Experience in a managed services or multi-client consulting environment.
- Familiarity with legacy platforms (Access 2013, Navision 2009) alongside modern ERP environments.
- Experience managing or configuring system integrations (APIs, data imports/exports, middleware).
- Vendor certification in one or more supported platforms (e.g., Microsoft Dynamics 365, Dayforce).
- Understanding of role-based access control (RBAC) and ERP security best practices.
