Job Summary
We are seeking a proactive and highly organized Executive Assistant to support our leadership team. This dynamic role requires a detail-oriented professional who thrives in a fast-paced environment, excels at managing multiple priorities, and demonstrates exceptional communication skills.
The Executive
Assistant will serve as a vital point of contact, ensuring smooth daily operations, coordinating schedules, and handling administrative tasks with precision. Duties
- Manage and maintain the executive’s calendar using Microsoft Outlook Calendar, scheduling meetings, appointments, and travel arrangements efficiently.
- Handle incoming calls with professionalism and courtesy, utilizing multi-line phone systems and practicing excellent phone etiquette.
- Prepare, proofread, and edit correspondence, reports, presentations, and other documents to ensure accuracy and clarity.
- Organize and maintain filing systems—both physical and digital—using Google Workspace and Microsoft Office tools for easy retrieval.
- Perform data entry tasks with high accuracy into QuickBooks for bookkeeping purposes and other financial records.
- Coordinate meetings by preparing agendas, taking minutes, and distributing materials in a timely manner.
- Assist with front desk responsibilities including greeting visitors, managing office supplies, and supporting overall office operations.
Requirements
- Proven clerical experience with strong organizational skills in an office workplace.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications.
- Experience with QuickBooks accounting software and basic bookkeeping practices.
- Excellent typing skills with high accuracy for data entry tasks.
- Demonstrated ability to manage multiple priorities simultaneously while maintaining attention to detail.
- Strong communication skills with professional phone etiquette and customer service orientation.
- Familiarity with multi-line phone systems, filing procedures, proofreading standards, and office procedures such as DocuSign for electronic signatures.
- Previous administrative or office experience supporting executives or teams is preferred; office experience is essential.
