Location: Minden & Carnarvon, Ontario
Position: Part-Time, On-Site
Hours: Monday to Friday, 10:00 a.m. to 3:00 p.m. — approximately 25 hours per week
Compensation: $20–$22 per hour, depending on experience, plus eligibility for a performance bonus
Eighth Cannabis is an independent Ontario cannabis retailer operating eight locations across the province. We are looking for a highly organized, capable, and accountable Executive Assistant & Operations Coordinator to support the owner and management team.
This is a hands-on role for someone who can keep projects, people, vendors, deadlines, and documentation moving forward with minimal supervision.
Key Responsibilities
- Provide executive and administrative support to the owner and management team
- Maintain task lists, deadlines, calendars, and follow-up items across multiple employees and projects
- Track assigned work and follow up with team members to ensure completion
- Coordinate operational projects across multiple company locations
- Source and coordinate contractors, tradespeople, suppliers, installers, and service providers
- Obtain quotes, schedule work, coordinate access, and confirm completion of repairs and installations
- Scout and research potential new store locations, including available commercial spaces, basic market research, landlord and broker outreach, and organizing site information for review
- Assist with purchasing, vendor coordination, equipment sourcing, and expense tracking
- Prepare skilled emails, reports, forms, SOPs, and internal documentation
- Maintain spreadsheets, reports, and business records using Microsoft Excel and Word
- Review and organize invoices, receipts, statements, and supporting bookkeeping documentation
- Prepare payroll information, including employee hours and timesheets
- Assist with employee onboarding, training records, vacation tracking, and general HR administration
- Maintain organized SOPs, logs, checklists, contracts, certificates, and other controlled records
- Assist with operational audits, inspections, regulatory documentation, and internal record reviews
- Support inventory, quality documentation, purchasing, and other operational recordkeeping
- Maintain strict confidentiality regarding employee information, payroll, financial information, business operations, expansion plans, contracts, and other sensitive company information
- Assist with special projects and other business priorities as required
Qualifications We are looking for someone who is highly organized, reliable, resourceful, and comfortable taking ownership of follow-up.
Preferred qualifications include:
- Proven success in an Executive Assistant, Administrative Assistant, Office Manager, Operations Coordinator, Bookkeeper, or similar role
- Proven ability to organize and manage multiple priorities, deadlines, projects, and follow-up items simultaneously
- Proven ability to take ownership of assignments and follow them through to completion with minimal supervision
- Strong working knowledge of Microsoft Excel and Microsoft Word
- Bookkeeping or accounting support experience
- Experience preparing payroll information or working with employee timesheets
- Confident and professional communication by phone and email
- Excellent communication skills with employees, managers, contractors, suppliers, landlords, brokers, and other external contacts
- Comfortable following up with others and holding people accountable for assigned tasks
- Strong attention to detail and recordkeeping
- Strong problem-solving skills and ability to research unfamiliar issues independently
- Ability to work independently, take initiative, and exercise good judgment
- High level of discretion, professionalism, and ability to handle confidential information appropriately
- Comfortable working in a regulated business environment
- Valid driver’s licence and reliable transportation
- Ability to regularly travel between Minden and Carnarvon, Ontario
- Ability to occasionally travel to other company locations and prospective locations as required
- Knowledge of cannabis or previous experience in the cannabis industry is considered an asset, but definitely not required
- Experience in bookkeeping, regulated industries, agriculture, quality assurance, compliance, or commercial property would be considered an asset

You notice when something has been missed, follow up without being asked, and continue working through an issue until it is resolved.
You communicate confidently with the team and are comfortable picking up the phone, researching an unfamiliar problem, finding the right contractor or supplier, and moving a project forward.
You understand that an executive support role involves access to sensitive information and can be trusted to use discretion and maintain confidentiality.
You do not need to know how to do everything on day one, but you should be able to figure out what needs to happen next.
Most importantly, you are dependable, detail-oriented, resourceful, proactive, discreet, and accountable.
Hours & Work Location
This is a part-time, on-site position primarily based in Minden, Ontario, with regular travel to Carnarvon.
Monday to Friday
10:00 a.m. to 3:00 p.m.
Approximately 25 hours per week
Some flexibility may occasionally be required for meetings, site visits, installations, or other operational needs.
A valid driver’s licence and reliable transportation are required.
Compensation
- $20–$22 per hour, depending on experience
- Eligibility for a performance bonus
- Bonus eligibility will consider reliability, accuracy, organization, initiative, communication, follow-through, and achievement of role expectations

This role offers more variety and responsibility than a traditional administrative position and provides the opportunity to become closely involved in the day-to-day operation and growth of the business.
Pay: $20.00-$22.00 per hour
Expected hours: 15.0 – 30.0 per week
