Family Law Clerk / Administrative Assistant

Osbourne Valentine LLP • Remote • Full-Time • $60,000 to $70,000 annually

About Osbourne Valentine LLP:

Osbourne Valentine LLP is a growing Toronto family law firm built around collaborative law, mediation, negotiation and other out-of-court approaches to separation, divorce and family restructuring. We are a fully remote, technology-enabled practice: Clio and Microsoft 365 run our day-to-day operations, our team is distributed across Ontario, and everything we do is guided by a Family First philosophy that puts as much care into our own team's lives as we do into our clients'.

The Opportunity:

This is a specialized, blended role for an experienced Ontario family law clerk ready to do more than one job well. You'll work exclusively within Ontario family law, handling everything from financial statements and disclosure to court materials and settlement documentation, while also owning client intake, billing, and day-to-day administrative and calendar support for our lawyers. We're looking for someone with at least 3 years of Ontario family law clerk experience who takes real ownership of their files, thrives working independently in a remote environment, and wants the variety of a role that spans both legal and operational work, not just one or the other.

What you will do

- Prepare Financial Statements, Net Family Property Statements, and disclosure materials for conferences, motions and mediations.
- Prepare routine correspondence.
- Draft Applications, Answers, Motions, Affidavits, Case Conference Briefs, and Settlement Conference Briefs.
- Coordinate filing and service of court documents; monitor deadlines,

undertakings and outstanding file tasks specific to Ontario family law proceedings.
- Communicate professionally with clients, opposing counsel and court staff.
- Maintain organized client files
- Coordinate documents for electronic signature
- Witness client execution of agreements remotely.
- Recognize the next step on a file and move it forward independently.
- Assist prospective clients with inquiries, conflict checks and retainer setup.
- Own the intake pipeline in Clio Grow end to end, proactively following up with leads and prospective clients so no inquiry goes stale and every qualified lead moves toward a signed retainer.
- Own the firm's billing and trust request processes end to end: preparing and circulating prebills, finalizing client accounts, following up internally on time entries and disbursements, accounts-receivable follow-up, and retainer/credit-card authorization administration.
- Assist with file opening, closing and archiving.
- Manage and triage inbox and calendar for lawyers as needed.
- Manage day-to-day client communication and ensure clients receive timely, responsive follow-up on inquiries and requests.
- Support scheduling, correspondence and general office workflows.

- Provide day-to-day administrative support to lawyers as the firm grows.
- Maintain templates, forms and shared firm resources.
- Help document and improve firm procedures.

What we are looking for

- At least 3 years of experience as a law clerk in an Ontario family law practice, with meaningful substantive experience specific to family law.
- Strong working knowledge of Ontario family law procedures, Family Law Rules, court forms and practice directions.
- Proficiency with DivorceMate.
- A proven track record of working independently and effectively in a fully remote workplace, with the discipline, responsiveness and technology comfort that requires.
- Highly organized, with the ability to manage competing priorities and deadlines without close supervision.
- Ability to maintain strict confidentiality regarding client, financial and firm information at all times.
- Experience with Clio and Microsoft 365, or comfort learning new systems quickly.

A Law Clerk diploma or equivalent education and experience is required.

Benefits:

We invest in our team's wellbeing with a Health Spending Account, giving you the flexibility to use it toward the health and wellness expenses that matter most to you.

Why join Osbourne Valentine LLP?

You will join a growing, fully remote Toronto family law practice where your expertise directly shapes both the client experience and the firm's day-to-day operations. If you want meaningful ownership over your work, genuine variety, and a team that puts family first, we would love to hear from you.
