Full-Time | $85,000–$100,000, depending on experience The Role
Phonograph Holdings Inc. is seeking an experienced, highly organized Group Controller to oversee the financial administration and reporting for a small group of privately held companies and investments.
This is a hands-on senior accounting role with a broad mandate. The Group Controller will be employed by PHI and will oversee PHI's finances while also providing financial management and accounting oversight to affiliated operating companies through management-service arrangements.
The role will also assist the principal of PHI in organizing and coordinating aspects of their personal financial administration, working alongside external accountants, lawyers, investment advisors and other professional advisors.
We are looking for someone who enjoys bringing order and visibility to a collection of businesses, properties and financial interests — someone who can understand the details while maintaining a clear view of the whole.
Key Responsibilities
Accounting & Financial Operations
- Oversee day-to-day accounting across PHI and affiliated companies
- Maintain accurate books and records in QuickBooks Online
- Oversee accounts payable and accounts receivable
- Coordinate payroll and related remittances
- Prepare and file HST returns and other routine government filings
- Maintain intercompany accounts and reconcile transactions between entities
- Manage and document management fees and other intercompany charges
- Maintain records relating to shareholder loans
- Perform bank and credit-card reconciliations
- Maintain organized financial records and supporting documentation
- Coordinate year-end preparation with external accountants
Financial Reporting & Oversight
- Produce clear monthly financial reporting for ownership
- Monitor cash flow across the group
- Track receivables, payables and upcoming financial obligations
- Maintain visibility into property income, expenses, mortgages and other liabilities
- Assist with budgets, forecasts and financial planning
- Identify discrepancies,
risks and opportunities requiring attention
- Develop systems and controls that improve the accuracy and efficiency of the group's financial operations
Personal Financial Administration
- Assist the principal with organizing personal financial records and obligations
- Maintain records relating to investments, distributions, shareholder loans and other financial interests
- Coordinate documentation required by accountants, lawyers, banks and investment advisors
- Help maintain a consolidated view of corporate and personal financial interests
This role does not replace external tax, legal or investment advisors. Rather, the Group Controller will help ensure that information is organized, accurate and available to those advisors when required. Systems & Process Development A significant part of this role will be improving how financial information moves through the organization.
The successful candidate will be expected to document processes, establish sensible financial controls, improve reporting systems and help create a finance function that can scale as the group evolves.
Over time, the Group Controller may oversee bookkeeping or administrative support responsible for routine transaction processing.
Who We're Looking For The ideal candidate will have:
- Significant experience in accounting, controllership or senior bookkeeping/accounting roles
- Solid knowledge of Canadian private-company accounting
- Excellent working knowledge of QuickBooks Online
- Experience with multiple corporations or related entities
- Strong understanding of AP, AR, payroll, HST, reconciliations and year-end preparation
- Experience with intercompany transactions and shareholder accounts
- Excellent organizational and documentation skills
- Strong judgment,
discretion and attention to detail
- The ability to communicate financial information clearly to a non-accountant owner
- The confidence to identify problems, ask questions and recommend better ways of doing things
A CPA designation is an asset, but we are equally interested in candidates with substantial hands-on private-company accounting experience. Experience with real estate/property companies, owner-managed businesses, corporate groups or family-office environments would be particularly valuable.
How We Work
This is a hybrid position that is primarily remote.
Most accounting and administrative work can be completed remotely. However, candidates must be located in or reasonably close to Halifax, Nova Scotia, and available to attend the office approximately one or two times per week as required for activities such as collecting mail, handling original documents, signing or processing cheques, and meeting with ownership or staff.
We value independence and trust. This is not a role where someone will be monitored throughout the day. We are looking for a professional who takes ownership of their responsibilities, keeps excellent records, communicates clearly and ensures that important financial matters are handled.
