Reporting to the Manager, Central Office for Resolution & Equity (CORE), the Intake Specialist serves as the primary and first point of contact for members of the Sheridan community seeking guidance or raising concerns related to discrimination, harassment, and sexual violence, and acts as the central referral point for other departments requiring formal investigation or resolution support through CORE. The role is responsible for conducting specialized intake, assessment, and triage; determining appropriate resolution, referral, and escalation pathways; coordinating the intake of matters referred for formal investigation; and providing accurate, neutral, and accessible information regarding available options, services, and processes. Through the application of sound judgment, procedural fairness, trauma-informed practices, and a high degree of confidentiality, the Intake Specialist supports a coordinated, responsive, and equitable approach to conflict resolution, rights, and equity matters across Sheridan.

The incumbent also contributes to the effective operation of the CORE Office through the coordination of administrative processes, maintenance of case records and data, participation in case review and discussion at CORE committee meetings, analysis of case trends and service metrics, and the preparation of reports, summaries, and statistical information for internal and external stakeholders. The role further supports training, awareness, and other operational activities that enhance service delivery, accountability, and continuous improvement across Sheridan.

What You’ll Be Doing

- Serving as the primary point of contact for members of the Sheridan community seeking guidance or raising concerns related to discrimination, harassment, or sexual violence matters.
- Conducting all processes related to the first-level intake and triage assessment, including identifying rights and responsibilities, providing information and clarification regarding the appropriate dispute resolution process at Sheridan, initiating and scheduling in-person and/or virtual intake meetings, and gathering information to support decisions regarding the escalation or triage of matters.
- Directing or referring matters appropriately within Sheridan, including for investigations or early resolution, and facilitates connections with Sheridan resources such as Campus Safety, Human Resources, and Student Affairs.
- Documenting and recording contacts with the Sheridan community to support record keeping and consults with the Manager, CORE, as required.
- Maintaining confidential case records and intake documentation, prepares correspondence, tracks case activities and follow-up actions, coordinates referrals and case transitions with internal and external partners, monitors timelines, and maintains data integrity within case management and reporting systems.
- Providing guidance and consultation to students, employees, managers, faculty, and staff regarding Sheridan policies, procedures, resources, and support options.
- Collaborating with Human Resources, Student Affairs, Academic Faculties, Campus Safety, and other departments to facilitate timely and coordinated responses to concerns.
- - Developing positive working relationships with the Sheridan community to build awareness of human rights, equity and inclusion policies, practices, procedures, and resources.
- Coordinating student Equity Diversity & Inclusion (EDI) initiatives, such as the Social Change Ambassador Program,



and monitors the central equity and accessibility email accounts.
- Providing administrative coordination and support to the Manager and other team members in the Central Office for Resolution & Equity. Creates and maintains a database of CORE intake contacts and activities and prepares statistical reports and data, including the Annual Report.
- Assists in improving administrative procedures and operating guidelines related to the mandate of the Central Office for Resolution & Equity. Maintains the CORE website, affiliated pages, and online resources, and produces or sources various online and other communication and information resources.
- Participating in other projects and initiatives as assigned.

The Successful Candidate Will Also Possess The Following Qualifications

- 4-year bachelor’s degree or a 3-year degree and post graduate certificate in Social Work, Psychology, Sociology, Human Resources Management, Conflict Resolution, Equity Studies, Law and Society, Public Administration, Criminology, or a related field of study.
- 3-years of demonstrated experience conducting intake, assessment, triage, and case management of complex and confidential matters.
- Experience and knowledge related to current trends, issues, legislation, regulation and practices in areas of human rights, workplace harassment, equity and inclusion (e.g.

Human Rights

Code, Occupational Health and Safety, Sexual Violence Prevention and Response, Accessibility).

- Understanding of the diverse college stakeholder groups (faculty, staff, students, campus visitors).
- Solid analytical and critical thinking skills to interpret policies, procedures and collective agreements.
- Proficient with computer software (e.g. MS Office Suite, WebEx, Zoom) and experienced with website content maintenance (including accessible document creation) and social networking tools.
- Specialized knowledge of human rights, discrimination and harassment prevention, sexual violence response, accessibility, trauma-informed practice, and procedural fairness.
- Strong interviewing, analytical, documentation, consultation, and stakeholder relationship-management skills.
- Ability to interpret and apply policies and procedures, exercise sound judgment, maintain confidentiality, and coordinate referrals and support services across multiple stakeholders.




- Experience supporting complaint resolution processes, investigations, mediation, restorative practices, or alternative dispute resolution processes (preferred).
- Experience with case management systems, records management systems, and reporting tools (preferred).
