Overview

Prime Boiler Services is seeking a dependable and detail-oriented Inventory & Logistics Coordinator to support the accurate control and timely movement of parts, consumables, tools, equipment, and project materials.

This hands-on role combines inventory control, shipping and receiving, warehouse support, branch transfers, and freight coordination. The successful candidate will take ownership of assigned activities from request through delivery and close-out while keeping internal teams informed of shortages, delays, and risks.

Duties

- Maintain accurate inventory records for warehouse stock, service-truck inventory, tools, equipment, and consumables.
- Monitor re-order requirements and minimum/maximum levels and communicate shortages or unusual demand.
- Complete cycle counts, support annual inventory counts, investigate discrepancies, and document corrective actions.
- Coordinate branch transfers, including picking, tagging, system entry, shipment, receipt, and close-out.
- Receive parts and materials against purchase orders and verify quantities, condition, documentation, and destination.
- Pick, stage, package, label, load, and unload parts, freight, and equipment using approved procedures and equipment.
- Maintain shipping and receiving records, including bills of lading, packing slips, delivery records, photos, and proof of delivery.
- Coordinate returns to vendors and follow through on freight arrangements, credits, restocking fees, and system updates.




- Coordinate domestic and international freight for parts, equipment, branch transfers, chemicals, and project materials.
- Collect shipment details, obtain and compare freight quotations, book carriers, track shipments, and confirm delivery.
- Prepare or obtain shipping and customs documentation, including commercial invoices and USMCA documentation where applicable.
- Provide explicit updates to project and operational teams and promptly escalate missing information, delays, damage, cost concerns, or schedule risk.
- Maintain complete and organized electronic records in approved company systems.
- Support standardized processes, cross-training, and practical improvements to inventory and logistics workflows.

What You Bring

- Two to three years of experience in inventory, warehousing, shipping and receiving, logistics, parts, or supply chain is preferred.
- Related education is considered an asset. Equivalent hands-on experience will be considered.
- Valid Class 5 driver’s licence.
- Strong attention to detail, organization, communication, problem-solving, and follow-through.
- Working proficiency with Microsoft Office and the ability to learn company ERP and inventory systems.
- Forklift, material-handling, TDG, WHMIS, customs, or related training is considered an asset.

What Success Looks Like

- Inventory records and physical stock remain aligned, and discrepancies are investigated rather than carried forward.
- Inbound and outbound materials are correctly received, documented, staged, shipped,



and traceable.
- Shipments are coordinated with complete information, suitable carriers, required documentation, and timely status updates.
- Internal teams have visibility into delivery timing, shortages, and risks before they affect execution.
- Returns, credits, purchase orders, freight records, and shipment files are followed through to completion.
- Standard processes are used consistently, and knowledge is documented and shared.

WORK ENVIRONMENT & SAFETY This safety-sensitive position combines office and computer work with regular activity in warehouse, shop, yard, and shipping/receiving environments. Duties may include lifting, carrying, bending, climbing, loading and unloading materials, operating approved material-handling equipment, and working around industrial equipment, noise, dust, weather, and changing temperatures.

The successful candidate must follow company and site safety requirements, use approved material-handling practices, and stop or escalate work when conditions are unsafe or unclear.
