JobLeasing / Office Administrator The Leasing / Office Administrator provides administrative and coordination support to the corporate office, with a primary focus on ensuring lease transactions are accurately completed, documented, and maintained. This role plays a key part in supporting the Legal, Finance, Operations, and Marketing departments by ensuring all required leasing, contract, and operational documentation is complete, accurate, and accessible.

KEY RESPONSIBILITIES & DUTIES

Leasing

- Prepare, review, and coordinate lease documentation, including offers to lease, renewals, amendments, assignments, and terminations.
- Track lease expirations, critical dates, renewal periods, and other key contractual milestones.
- Ensure rent collections and other lease-related charges are accurate and in accordance with contractual agreements.
- Prepare Net Effective Rent (NER) calculations based on landlord proposals and tenant counterproposals.
- Collect, organize, and compile broker and market data to support leasing activities.
- Compile and prepare leasing data for monthly reporting, budgeting, and business plans.
- Coordinate communication and the flow of documentation between internal stakeholders, landlords, tenants, brokers, legal counsel, and other external parties.
- Ensure all fully executed lease documents are properly organized, filed, scanned, and stored.
- Obtain credit check information for all new lease transactions and submit documentation to the CFO for review and approval.
- Support the preparation and coordination of lease-related documentation for Legal review and drafting, as required.

Office Administration

- Provide general administrative support to the corporate office, including scheduling meetings,



preparing correspondence and annual reports, and providing front-desk support.
- Coordinate store transition and opening/closing paperwork, including insurance, inventories, utilities, and other required documentation.
- Manage and coordinate new owner applications and supporting documentation.
- Support event planning and board administration activities.
- Ensure all store insurance documentation is accurate, current, and properly maintained.
- Ensure store inventory records are accurate, complete, and up to date.
- Coordinate the submission of documents to Legal for drafting, review, and approval when required.
- Provide general administrative support to other departments and assist with special projects as needed.

REQUIRED SKILLS & QUALIFICATIONS

- Post-secondary education in business, real estate, legal administration, or a related field is preferred.
- 3+ years of experience in commercial real estate leasing, legal administration, office administration, or a related role.
- Working knowledge of commercial lease documentation, terminology, and real estate processes.
- Robust organizational skills with exceptional attention to detail and accuracy.
- Proficiency in Microsoft Office Suite, including Word, Excel, and Outlook.
- Excellent verbal and written communication skills.
- Ability to manage multiple priorities, tasks, and deadlines in a fast-paced environment.
- Strong interpersonal and relationship-building skills with the ability to work effectively with internal and external stakeholders.
- Professional, collaborative, and proactive approach to work.
- Ability to handle confidential and sensitive information with discretion.

Overview Pay: $55,000.00-$75,000.00 per year
