Location: Brockville, Ontario (Hybrid)

Position: Full-Time (35 hours/week), Permanent

Salary: $68,000–$72,000 annually, commensurate with experience

Through endowment building, donor stewardship and strategic grantmaking, we help strengthen communities across Brockville and the surrounding region for generations to come.

Since its establishment, the Foundation has grown from approximately $1 million to more than $15 million in endowed assets, resulting in expanded grantmaking, increased donor engagement and greater community impact.

As we enter an exciting new stage of growth, we are creating a new leadership position: Manager, Finance & Operations. This is an opportunity to build and lead the operational systems that support a modern, growing community foundation while working closely with our Executive Director and Board of Directors.

Position Summary The Manager, Finance & Operations is responsible for the Foundation's financial administration, office operations, technology systems and administrative infrastructure.

Reporting to the Executive Director, this position oversees the Foundation's financial administration, donor database, grant administration, banking, business operations and implementation of the Foundant grants and donor management platform.

This role is ideal for someone who enjoys balancing financial accuracy with operational excellence, takes initiative, and thrives working independently while collaborating closely with a small, dedicated team.

Key Responsibilities

Financial Management & Administration (35%)

- Manage day-to-day financial administration, including accounts payable and receivable.
- Process bank deposits and reconcile accounts.
- Prepare monthly financial reports for the Executive Director, Treasurer and Finance Committee.
- Support development of the Foundation's annual operating budget.
- Monitor cash flow and maintain financial controls.
- Coordinate the annual audit and work closely with external accountants.




- Assist with CRA reporting and regulatory compliance.

Foundant & Technology Systems (25%)

- Lead implementation and ongoing administration of the Foundant grants and donor management platform.
- Maintain donor, fund, grant and scholarship records.
- Ensure data integrity and reporting accuracy.
- Generate reports for staff, Board committees and donors.
- Recommend technology improvements and streamline administrative processes.
- Train staff and volunteers on system use as required.

Donor & Grant Administration (20%)

- Process donations and issue charitable tax receipts.
- Coordinate donor acknowledgements and stewardship communications.
- Prepare fund statements and impact reports.
- Support grant application administration and grant payment processes.
- Maintain accurate grant records and reporting.

Operations & Office Management (15%)

- Manage the Foundation's day-to-day office operations.
- Coordinate contracts, insurance, banking relationships, vendors and office technology.
- Maintain organizational records and document management systems.
- Support Board and committee meeting logistics.
- Develop and improve administrative procedures.

Organizational Support (5%)

- Support Foundation events and donor functions.
- Coordinate event logistics and registrations.
- Provide occasional evening and weekend support for Foundation events.

Who You Are You are an organized, proactive professional who enjoys creating order, improving processes and supporting a mission-driven organization.

You thrive in a small team environment where no two days are exactly alike and where initiative, adaptability and sound judgment are highly valued.

You are equally comfortable preparing financial reports, implementing new technology, managing multiple priorities and providing exceptional service to donors, volunteers and community partners.

Because this is a hybrid position with a high degree of autonomy, you are self-directed,



accountable and able to manage your workload independently while maintaining excellent communication with colleagues.

Qualifications

- Postsecondary education in Business Administration, Accounting, Finance or a related field.
- Minimum of three to five years' experience in financial administration, operations or nonprofit management.
- Strong bookkeeping and financial administration skills.
- Experience with accounting software and Microsoft 365.
- Experience with CRM or grants management software; Foundant experience is considered a strong asset.
- Excellent organizational and project management skills.
- Strong analytical and problem-solving abilities.
- Exceptional attention to detail and discretion with confidential information.
- Excellent written and verbal communication skills.
- Experience in the charitable or nonprofit sector is an asset.

Working Conditions

- Full time permanent position (35 hours/week).
- Hybrid work arrangement, with an expectation of working in the Brockville office 2–3 days per week, with flexibility based on operational needs.
- Monday to Friday during regular business hours.
- Occasional evening and weekend work to support Foundation events and Board meetings.
- Local travel may occasionally be required.
