Medical Office Assistant – Full time
Willow Clinic is a busy reproductive health clinic providing comprehensive contraception and abortion services. We are seeking a full-time Certified Medical Office Assistant (MOA) to join our team.
This is a junior-level position working closely with a supportive team of 12 staff members. We are looking for a motivated, compassionate, and dependable individual who is eager to learn, works well with others, and has an interest in reproductive and contraceptive health.
Position Overview The Medical Office Assistant will play an important role in supporting patients, healthcare providers, and administrative staff while ensuring the smooth and efficient operation of the clinic.

Key Responsibilities
- Greet patients warmly and professionally while managing front-desk operations efficiently.
- Schedule and coordinate patient appointments using the MedAccess electronic medical record (EMR) system.
- Coordinate patient flow and support efficient clinic operations throughout the day.
- Maintain accurate and up-to-date patient records in accordance with privacy and confidentiality requirements.
- Operate a multi-line telephone system and respond professionally to patient inquiries, appointment requests, and general communications.
- Provide a high standard of customer service during patient check-in and check-out.
- Assist clinical staff with preparing examination rooms and maintaining appropriate medical supplies.
- Help maintain a clean, organized, and professional clinical environment.
- Perform administrative duties including data entry, filing, billing support, and other clerical responsibilities.
- Communicate and collaborate effectively with healthcare providers and other members of the clinic team.
- Perform additional administrative and clinical support duties as required.
Qualifications & Skills
- Medical Office Assistant certificate preferred.
- Previous experience working in a medical office is an asset.
- Experience with electronic medical record (EMR) systems, particularly MedAccess, is preferred.
- Excellent written and verbal English communication skills.
- Strong computer skills and the ability to learn new software quickly.
- Experience with multi-line telephone systems is an asset.
- Excellent organizational skills and attention to detail.
- Ability to multitask effectively in a busy, fast-paced healthcare environment.
- Strong interpersonal and communication skills.
- Professional, compassionate, and respectful approach when interacting with patients.
- Ability to work independently with minimal supervision while also contributing positively to a team setting.
- Reliable, adaptable, and willing to learn.
Work Schedule Monday to Friday: 8-hour shifts
Saturday shifts: May be required occasionally

Compensation & Benefits
Starting Wage: $25–$26 per hour for the first three months, depending on experience.
