ORDER FULFILLMENT ADMINISTRATOR

MCON Products is local, and family owned, industrial manufacturing facility that was established in 1989 in Ottawa, Ontario to provide the fast-growing market with high-quality Precast Concrete products on time and at a competitive price. Our precast products include circular and elliptical concrete pipes, circular and box maintenance holes, catch basin, box culverts, oil grit separators and gravity retaining wall systems.

Overview:

The purpose of the Order Fulfillment Administrator is to take and process customer orders,



provide support to dispatch and customer pickup requests, as well as to greet customers and receive incoming calls at the front counter.

Responsibilities:

- Order Fulfillment
- Prepare customer loading bills with accurate and complete information
- Maintain and update production and shipping spreadsheets with accurate data entry
- Navigate Business Central to process Sales Orders
- Process cash and credit card payments

- Customer Service

- Greet customers, brokers, and other visitors at the front counter
- Answer phones and transfer calls to respective departments
- Resolve discrepancies and communicate timely with customers

- Dispatch Operations

- Schedule deliveries and pickups via phone and email
- Update shipping schedules with complete and accurate information
- Build loads based on customer priorities, product dimensions, and weight restrictions

- Administration

- Update Outlook calendars as required
- Complete daily opening and closing procedures
- Organize, maintain, and archive hard copy and digital documentation across physical files and SharePoint

Qualifications:
- 2-3 years of experience similar experience, preferably within a production setting (Manufacturing or heavy industrial environment)
- 1-2 years of experience as a dispatcher or order fulfillment
- 1-2 years of customer service experience troubleshooting discrepancies and working with customers to resolve them.
- Minimum College diploma in Office Administration or relevant combination of education and experience

- Able to communicate effectively




- Able to review individual work for accuracy prior to distribution or system entry.
- Familiarity with MyGeo Tab is a plus
- Able to work in a fast-paced, high-production environment
- Able to work unsupervised, motivated to complete all tasks
- Able to work well with others in a team environment
- Ability to perform repetitive tasks
- Always maintain a professional attitude, especially when handling difficult and/or stressful situations
- Ability to determine when to escalate issues to next level
- Ability to problem solve low-level order/invoice/system discrepancies
- Willing to work overtime as required
- Maintain a high degree of discretion and confidentiality
- Intermediate to advanced proficiency in Microsoft Excel (data filtering, sheet navigation, basic formulas) and Outlook (calendar management, multi-thread coordination)
- Ability to read and cross-reference product descriptions, dimensions and technical specifications against production sheets and sales orders.
- Strong understanding of loading procedures, weight/dimension limits, and protocols before releasing freight.
- Demonstrated ability to execute clear operational handovers and communicate effectively
- Nice to have: Hands-on experience with Microsoft Dynamics 365 Business Central (or similar enterprise ERPs) for sales order entry, posting, and line-item management
- Always maintain high level of safety

Compensation and Benefits

- Salary range $50,000-65,000, based on experience
- Permanent, Full-time, 42.5 hours/week, Monday-Friday
- On-site, Located in Carp, Ontario
