Accounting & Payroll Coordinator

Overview
We are seeking a resourceful, hands-on, and highly organized Accounting & Payroll Coordinator to support the financial and administrative operations of a not-for-profit, community-based organization dedicated to supporting vulnerable individuals and communities.
Reporting to Finance leadership, the Accounting & Payroll Coordinator will be responsible for a variety of accounts payable, accounts receivable, accounting, payroll, and administrative functions. The successful candidate will ensure financial records and information remain accurate, current, and properly maintained while completing financial tasks in a timely and efficient manner.
This role is well suited for a detail-oriented professional who takes pride in accuracy, demonstrates strong organizational skills, and can effectively manage a high-volume workload while maintaining confidentiality and compliance with established accounting policies and procedures.

How You Will Make an Impact
Financial & Administrative Duties
- Process accounts payable and accounts receivable accurately and on time while following GAAP and applicable accounting practices for not-for-profit organizations.
- Prepare general ledger transactions, including journal entries, recurring entries, accruals, and prepaid expense allocations.
- Generate financial and administrative reports for internal and external stakeholders as required.
- Prepare timely balance sheet reconciliations and income statement analyses to ensure account accuracy.
- Verify appropriate authorization and supporting documentation before processing invoices.
- Ensure credit card transactions and petty cash activities comply with established internal controls.
- Review accounting transactions to identify and correct data inaccuracies.
- Maintain an organized electronic filing system and ensure financial documents are stored securely and appropriately.
- Perform banking activities, including deposits and EFT payments.
- Complete monthly reconciliations of bus tickets, gift cards, and donations through CanadaHelps to the general ledger.
- Assist with special financial and administrative projects as assigned by Finance leadership.
- Perform other related duties as required.
Payroll Duties
- Maintain payroll information by collecting, calculating, verifying, and entering employee data accurately.
- Update payroll records to reflect changes in exemptions, insurance coverage, savings deductions, job titles, departments, and employee status.
- Process employee terminations and prepare Records of Employment (ROEs) through ADP.
- Prepare payroll reports containing information related to earnings, taxes, deductions, leave, disability, and non-taxable wages.
- Review and reconcile payroll information and ADP reports to ensure accuracy.
- Investigate and resolve payroll discrepancies by collecting and analyzing relevant information.
- Respond to employee and management questions regarding payroll information and processes.
- Maintain payroll procedures in accordance with established policies and requirements.
- Support annual agency projects and other special assignments as directed by Finance leadership.
- Perform other payroll-related duties as required.
Requirements
What You Will Bring
- Minimum 2 years of experience in Finance, Accounting,
or a related field.
- Diploma or certificate in Accounting, Finance, or a related discipline.
- Working knowledge of accounting standards, practices, and procedures.
- Understanding of accounting functions within a not-for-profit environment is an asset.
- High level of trust, integrity, confidentiality, and professional work ethic.
- Proficiency with Sage 50 Premium .
- Excellent attention to detail and a solid commitment to accuracy.
- Ability to prioritize daily responsibilities and consistently meet deadlines.
- Strong analytical and problem-solving skills with a solutions-focused approach.
- Demonstrated ability to manage competing priorities and organize a high-volume and changing workload.
- Strong critical-thinking skills with the ability to evaluate information and provide appropriate recommendations or feedback.
