The Production Coordinator supports the day-to-day coordination, documentation, and administrative systems that keep farm production running efficiently and in compliance with food safety and organic certification requirements.

A key focus of this role is maintaining accurate, consistent, and timely records across all aspects of farm production. The Production Coordinator works closely with the farm production team, office management, wholesale customers, CSA operations, and certification/audit processes to ensure production activities are properly planned, documents, traceable, and communicated.

This position is well suited to an organized, detail-oriented individual who enjoys working in a dynamic farm environment and is comfortable balancing administrative responsibilities with hands-on production and logistics work.

Key Responsibilities:

Food Safety & Organic Certification

- Assist with the implementation and ongoing maintenance of the farm's On Farm Food Safety and Organic Certification programs
- Support preparation for food safety and organic certification audits, including gathering, organizing, reviewing, and maintaining required documentation
- Assist with audit delivery and provide records and information as required during inspections and audits
- Maintain accurate and consistent records necessary to support food safety, organic certification, and product traceability
- Identify opportunities to improve record-keeping systems and compliance processes

Production Planning & Documentation

- Assist with production planning, forecasting, and scheduling
- Support seed ordering and inventory planning based on production needs
- Assist with planning seeding dates and maintaining accurate seeding records
- Maintain production records using spreadsheets and other farm record-keeping systems
- Record and maintain daily harvest information




- Document agricultural inputs and other production activities, as require for certification and traceability
- Prepare and maintain shipping lists and assign and track product lot numbers
- Ensure production documentation is complete, accurate, and up to date

Inventory Management

- Maintain accurate inventory records for production supplies and materials including: soil and growing media, trays, seeds, warehouse and shipping packaging, and other production inputs and supplies.
- Monitor inventory levels and communicate upcoming supply needs
- Assist with ordering and procurement of production supplies, as required

Wholesale Support & Logistics

- Support the preparation and fulfillment of wholesale orders
- Print and prepare product labels and shipping documentation
- Complete and deliver wholesale, as needed
- Ensure products being shipped are properly documented and assigned lot numbers
- Assist with wholesale customer communication and customer relations, as needed
- Support the coordination of shipping and delivery logistics, as needed

CSA Program Support

- Assist with the weekly Community Shared Agriculture (CSA) program
- Participate in hands-on preparation and packing of produce boxes
- Assist with CSA shipping and delivery logistics
- Support back-end communication with CSA members, as needed

Other Responsibilities may include:

- Maintaining the farm's annual Small Flock Producers License and submitting monthly production records




- Assist with product development and related production or documentation requirements
- Support research and learning opportunities that contribute to continued knowledge of agricultural practices and farm production systems
- Assist the Office Manager with administrative tasks and projects, as needed
- Support communication and information flow between product, office, wholesale, CSA, and other farm operations

Qualifications & Skills

- Experience in agriculture, food production, farm operations, or a related field is an asset.
- Solid organization and record-keeping skills
- Attention to detail and accuracy
- Comfortable working with spreadsheets and digital record-keeping systems
- Strong communication and interpersonal skills
- Ability to work both independently and team
- Ability to prioritize and manage multiple tasks in a seasonal and fast-paced environment
- Willingness to patriciate in hands-on farm, packing, shipping, and production activies
- Availity and interest in continuing to learn about agricultural practices, food safety, organic production, and farm systems
- Valid Nova Scotia driver's license.

Working Environment This is a hands-on coordination role within a working farm environment. The position involves a combination of office-based administrative and record-keeping work and hands-on production, packing, inventory, shipping, and farm activities.

The successful candidate should be comfortable working outdoors and in variable weather conditions, as well as in production, warehouse, and office environments.

Pay: From $21.00 per hour

Expected hours: 30.0 – 40.0 per week
