BACKGROUND:
SCO is a growing and dynamic regional First Nation organization that represents 33 Anishinaabe and Dakota Nations and more than 92,000 citizens in what is now southern Manitoba. Established in 1999 by the Chiefs, SCO is mandated as an independent organization to protect, preserve, promote, and enhance First Nation peoples’ inherent rights, languages, customs, and traditions through the application and implementation of the spirit and intent of the Treaty-making process.
OVERVIEW:
Reporting to the Navigation Services Manager, the Program Assistant provides comprehensive administrative, client service, and operational support to ensure the effective delivery of identification services for First Nations individuals and communities. This position serves as a key point of contact for clients, coordinating appointments, responding to inquiries, maintaining confidential records, and supporting reporting and travel logistics.
KEY RESPONSIBILITIES:
General Administrative Support
- Provides administrative and organizational management support to the Status Card and ID Program
- Maintains calendar of events and distributes key information
- Processes mail and manages email and filing systems for the program
- Drafts memos, takes minutes, and drafts briefing notes and letters as requested
- Assists with coordinating program meetings
- Provides back-up reception duties as required
Client Services:
- Organizes and schedules appointments for clients seeking navigation support
- Organizes appointment schedules for Winnipeg office and Brandon office
- Responds to public enquiries in a timely manner
- Provides guidance on appropriate forms of identification
Reporting and Data Management:
- Assists in compiling data for reporting purposes
- Maintains manual and computerized information filing systems
- Adheres to privacy legislation and policies for storing personal information
Travel Coordination:
- Assists with preparing travel itineraries, registrations, and travel claims
- Ensure travel supplies and equipment are stocked and available for staff
- Prepare program materials for clinics
EDUCATION AND QUALIFICATIONS: · Completion of high school diploma or GED is required. A certificate or diploma in Office Management, Business Administration, or a related program or field would be an asset
· One – two years’ experience in an office environment with knowledge of office management systems and procedures. A combination of education and experience may be considered.
· Experience working with First Nations peoples and communities
· Experience working with the public in a fast-paced environment
· Proficiency in the use of standard office equipment, computers, Microsoft Office (Word, Excel, Power Point, Outlook, Teams), and Windows operating systems
· Strong organizational and problem-solving skills
· Excellent interpersonal skills, including the ability to work productively and collaboratively with colleagues, supervisors, and other internal and external stakeholders within complex systems
· Ability to work under pressure and to independently manage a wide range of tasks, often within short timelines, with precision and high attention to detail
· Ability to maintain confidentiality when developing and handling sensitive information
· Strong written communication skills, with the ability to write clear,
concise documents and reports for a variety of audiences
· Strong verbal communication skills with the ability to effectively communicate to a variety of audiences
· Ability to speak Anishinaabe or Dakota languages is an asset
OTHER REQUIREMENTS:
· Must provide a current and satisfactory Criminal Record Check with Vulnerable Sector Search
· Must hold a class 5 MB driver’s license with access to a reliable vehicle for business travel
WAGE RANGE: $45,000 - $55,000 Annually
