Overview

We are a boutique real estate brokerage seeking an experienced, organized, and versatile Real Estate Brokerage Administrator to support the day-to-day operations of our office.

This is a well-rounded real estate administration role. The successful candidate will be comfortable working across multiple areas of brokerage operations, including deal administration, listings, Lone Wolf, BrokerBay, agent support, compliance, commissions, accounting administration, and front-desk responsibilities.

We are looking for someone with strong real estate industry experience who understands how a brokerage operates and can confidently handle a variety of administrative responsibilities with accuracy and professionalism.

Key ResponsibilitiesBrokerage & Transaction Administration

- Accurately input, process, and close real estate transactions in Lone Wolf
- Process commissions and maintain accurate transaction records
- Review transaction files and documentation for completeness and compliance
- Monitor and respond to brokerage and deal administration emails
- Communicate with agents, lawyers, cooperating brokerages, and other parties regarding transactions and documentation
- Maintain organized and accurate electronic brokerage records

Listings & Agent Support
- Assist with the administration of new listings, amendments, suspensions, cancellations, and other listing documentation
- Support agents with brokerage forms, documentation, and general administrative requests
- Schedule and manage showing appointments through BrokerBay
- Assist with offer and transaction documentation as required
- Help ensure listing and transaction files are complete and properly maintained

Lone Wolf & Brokerage Systems




- Set up and maintain agent and staff profiles in Lone Wolf
- Maintain commission splits and other agent information
- Coordinate administrative onboarding and offboarding of agents
- Assist agents with access to brokerage systems and administrative processes
- Prepare reports through Lone Wolf as required by management

Compliance & Accounting Administration
- Maintain brokerage documentation in accordance with RECO, FINTRAC, and internal brokerage requirements
- Review files for required OREA forms, identification records, and supporting documentation
- Assist with accounts receivable and accounts payable
- Accept, record, and receipt deposits and other cheques
- Assist with monthly reporting and reconciliation-related administrative tasks

Office Administration
- Answer incoming telephone calls and direct inquiries appropriately
- Greet agents, clients, and visitors professionally
- Manage general brokerage correspondence and administrative requests
- Maintain organized office and electronic records
- Provide administrative support to brokerage management
- Perform other brokerage and office administration duties as required

Qualifications
- Minimum 2 years of experience in real estate brokerage administration
- Minimum 2 years of hands-on Lone Wolf experience, including deal and commission processing




- Robust understanding of Ontario real estate brokerage operations and documentation
- Familiarity with OREA forms, including Agreements of Purchase and Sale, Listing Agreements, Buyer Representation Agreements, amendments, waivers, and related documentation
- Working knowledge of FINTRAC and brokerage compliance requirements
- Experience with BrokerBay or similar showing-management systems is an asset
- Strong computer skills and ability to learn new systems quickly
- Excellent written and verbal English communication skills
- Exceptional organization and attention to detail
- Strong ability to prioritize multiple tasks and deadlines
- Professional and confident when communicating with agents, clients, lawyers, and cooperating brokerages
- Ability to identify and resolve routine administrative issues independently
- Comfortable working independently while contributing to a collaborative team environment

Ideal Candidate You are someone who understands the full administrative side of a real estate brokerage, not just one part of it. You are comfortable moving between a transaction file, a new listing, an agent question, a commission issue, a BrokerBay appointment, a deposit, or a front-desk inquiry without losing attention to detail.

You take ownership of your responsibilities, know when something needs follow-up, and help keep the brokerage organized and running smoothly.
