With 35 programs, 1,200 students and a staff of 195, we are currently looking for a talented individual to join our team. The Harding Road campus located in St. John's, has a temporary, fulltime Records Coordinator position available from September 2026 - April 2027.

This positions plays a vital administrative leadership role at the campus level. This isn’t just a records position — it’s a key role that directly supports student and staff achievement and campus operations.
About the Role
As one of the campus’s key administrative professionals, you will oversee the management, recording, and distribution of student academic and attendance records.
You will work closely with the Campus Principal, providing informed guidance to help ensure students stay on track and succeed academically.
When senior leadership is unavailable, you will step confidently into the role of senior campus administrator — demonstrating leadership, professionalism, and sound judgment.
What You’ll Be Responsible For:
· Manage and maintain all student academic files and documentation. This includes managing our file room and online digital storage platform.
· Process student withdrawals and terminations in accordance with school policy
· Monitor missed evaluations and supplementary examinations
· Collaborate proactively with all departments to ensure full preparedness, accuracy, and compliance for all external government procedures and audits.
· Attend student and faculty meetings, document outcomes, and follow up as needed
· Maintain and oversee the SAS system, addressing technical issues with leadership
· Prepare academic and attendance reports for Senior Administration and Head Office
· Draft and distribute student progress reports, letters, transcripts, and diplomas
· Track enrollment statistics and maintain accurate program data
· Support student transfers between campuses or programs
· Work closely with faculty to monitor attendance and proactively meet with students facing challenges
· Provide regular administrative updates regarding student status and issues
· Serve as a key supporter of instructors, ensuring that attendance records, marks, and required reports are submitted accurately and on time. You will proactively follow up on missing marks reports and attendance reports and take full responsibility to ensure discrepancies are rectified promptly and properly documented.
· Conduct presentations on various topics to current/current students and instructors.
· Manage and coordinate graduation, student engagement activities, registration processes, and orientation activities.
Your work will directly impact student and instructor progression, compliance, and campus effectiveness.
What You Bring to our Team
We’re looking for someone who combines technical skills with empathy and professionalism:
· Diploma in Office Administration (Records focus) or Business Administration from a recognized college/university.
· 2–3 years of experience in a similar administrative or records-focused role
· Strong proficiency in Microsoft Office, digital file management, email, and internet systems
· Exceptional organizational and problem-solving skills
· Strong written and verbal communication abilities
· The ability to maintain strict confidentiality
· A skilled, empathetic approach when working with students and staff
