The client is seeking a Senior Information Management Specialist to provide expert advice and support related to information management, information governance, records management, information architecture, and the lifecycle of structured and unstructured information. The successful candidate will support Ministry and Cluster clients in developing and implementing information management strategies, frameworks, standards, classification structures, metadata models, document management protocols, and modernization initiatives.
Responsibilities
- Provide expert advice on information management, information governance, records management, and information lifecycle management.
- Analyze business and information management requirements and recommend appropriate solutions.
- Develop and implement information management frameworks, strategies, policies, guidelines, and governance processes.
- Develop metadata schemas, taxonomies, classification structures, retention schedules, and document management standards.
- Lead or support digitization, migration, records conversion, and modernization of legacy documents, records, and repositories.
- Conduct information inventories, records assessments, classification exercises, and information quality assessments.
- Establish document management protocols, including naming conventions, version control, document labelling, and business rules.
- Assess information management risks and gaps and provide recommendations for improvement.
- Support privacy, information security, accessibility, and compliance requirements, including Privacy Impact Assessments (PIAs).
- Collaborate with Business Analysts, Information Architects, Data Architects, Project Managers, Records Management specialists, and technical teams.
- Facilitate workshops, stakeholder interviews,
and discussions with business teams and SMEs.
- Develop reports, recommendations, training materials, communication plans, and guidance documentation.
- Provide training and awareness on information management concepts, policies, and best practices.
Must-Haves
- Senior-level experience in Information Management, Information Governance, Records Management, or Information Architecture
- Robust experience with information architecture, metadata management, taxonomy development, classification structures, and content management
- Hands-on experience with digitization, migration, and modernization of legacy records, documents, and repositories
- Experience developing information management frameworks, metadata models, classification schemes, retention schedules, and governance processes
- Experience with records/document management, enterprise content management, or related IM solutions
- Strong business analysis, requirements gathering, and information management risk/gap assessment skills
- Excellent stakeholder management, communication, workshop facilitation, and documentation skills
Nice-to-Haves
- Ontario Public Service (OPS) / Government of Ontario experience
- Experience with FIPPA, AODA, privacy, accessibility, and OPS information management standards
- Experience with information governance, records retention, disposition, and information lifecycle management
- Knowledge of functional classification methodologies
- Experience with controlled vocabularies, taxonomies, and thesauri
- Experience supporting Privacy Impact Assessments (PIAs)
- Experience with ECM, Records Management, Document Management, or Case Management systems
- Experience developing IM strategies, policies, procedures, guidelines, and training programs
- Public-sector or broader government digital transformation/modernization experience
