Overview
Crestview is looking for an organized, proactive, and detail-oriented Site Administrator to join our team and support one of our active construction projects.
This is a great opportunity for someone who enjoys keeping things organized, solving problems, and being right in the middle of a busy project environment. You’ll work closely with our Project Manager, Site Superintendent, Foremen, field employees, and office team to help keep project information, documentation, and day-to-day site administration running smoothly.
This isn’t a sit-back-and-wait-for-work kind of role. We’re looking for someone who notices what needs to be done, follows up, and helps keep the project moving.
This is a contract position expected to run through July 2027. For the right candidate, there may be an opportunity to transition to another Crestview project based on business needs and project availability.
What You’ll Do
As our Site Administrator, you’ll be the administrative connection between the field and office. Your responsibilities will include:
- Providing day-to-day administrative support to the project and site leadership teams
- Maintaining organized project files, documentation, correspondence, and site records
- Assisting with document control, including drawings, specifications, RFIs, site instructions, change documentation, and revisions
- Collecting and reviewing timesheets and labour information for completeness
- Tracking site manpower and assisting with daily or weekly reporting
- Coordinating information between the site, payroll, accounting, safety, and project teams
- Assisting with purchase orders, packing slips, material receipts, and delivery documentation
- Helping track material deliveries and outstanding items
- Maintaining project logs and following up on action items
- Assisting with meeting coordination and preparing meeting minutes when required
- Supporting the tracking of RFIs, changes, deficiencies, inspections, and other project requirements
- Assisting with employee orientations, training records, and site safety documentation
- Communicating with general contractors, subcontractors, suppliers, consultants, and other project partners
- Supporting project closeout, deficiency, and turnover documentation
- Jumping in wherever administrative support is needed to help the project team succeed

- Has strong Microsoft Outlook, Excel, Word, and Teams skills
- Has previous administrative experience
Experience in construction, project administration, document control, accounting, or project management software is an asset, but we’re also interested in candidates with strong administrative skills who are eager to learn the construction industry.
What to Expect
This is a site-based position, working from a project office or construction trailer rather than a traditional corporate office.
You’ll work closely with both field and office employees and may occasionally need to enter active construction areas. When doing so, all required Crestview personal protective equipment must be worn.
Construction projects move quickly, priorities change, and sometimes the answer you need is somewhere between the project trailer, the field, and an email from three days ago. Being adaptable, resourceful, and comfortable following up will go a long way in this role.

Pay: $20.00-$21.00 per hour
