Join our spa as a Spa Coordinator, supporting the owners with the day-to-day office and business operations. You'll be the key point of coordination between clients, practitioners, reception, and management. Handling scheduling, front-desk operations, retail, financial admin, and systems. This lets the owners focus on treatments and clients while you keep the business side running smoothly.
Pay: $24–$28/hour, based on experience
What You'll Do
- First half of day: Reception duties, including folding laundry and helping with disinfection of tools
- Second half of day: Admin and operational tasks, including scheduling, inventory, systems, and financial reconciliation (detailed below)
- Manage the front desk team day-to-day, including leading, training, and supporting reception staff to maintain excellent service standards
- Manage practitioner schedules, room allocations, appointment changes, and waitlists to maximize efficiency
- Recruit, onboard, and train reception team members
- Reconcile POS transactions and manage cash/till procedures
- Manage the retail shop, including ordering, receiving, and merchandising product (with input and support from the team), and maintain vendor relationships.
- Track sales and create purchase orders based on seasonality, product popularity, sales trends, and stock levels.
- Maintain our booking software (Mangomint), including services, pricing, promotions, and troubleshooting
- Handle the operational setup for new services and promotions, updating booking systems, pricing, and scheduling once treatments, products, or events are decided
- Communicate professionally with clients, staff, and vendors to resolve issues
- Support marketing efforts as needed,
such as managing our Google Business listing/reviews or assembling newsletter content (content curation, not writing), with prospect to grow this side of the role over time
What We're Looking For
- Strong organizational skills and attention to detail
- Tech-savvy, comfortable learning and troubleshooting software
- Confident with numbers, cash handling, and spreadsheets (Excel/Google Sheets)
- Excellent communication and customer service skills
- 2+ years experience in a management role, specifically staff training, scheduling, and hiring is required
- 3+ years experience in customer service is required
- 1+ years of administrative or scheduling experience is required
- 1+ years experience with purchasing, inventory management, and merchandising is required
- Previous spa, wellness, hospitality, or healthcare experience is an asset
- Interest in marketing, social media, or communications is an asset. Experience with Google Business profiles or newsletter tools (e.g., Mailchimp) is a bonus but not required

Pay: $24.00-$28.00 per hour
Expected hours: 30.0 per week
