About the Role:

The role is responsible for delivering excellent front-desk service, ensuring smooth administrative operations, and managing invoicing and payment processes. This includes welcoming prospective clients, supporting students and academic staff with course-related administration, and overseeing financial follow-up to ensure accuracy and client satisfaction. The position also contributes occasionally to marketing activities as needed.

Please Note: This role is based fully On-site and a One year contract position.

Key Responsibilities:

Your responsibilities will be divided into three main areas: welcoming prospective clients, onboarding current students, administrative management, and invoicing for courses.

- Provide a warm and professional welcome to students, prospective clients and visitors, responding to enquiries by phone, email and in person.
- Support students from pre-arrival through to departure, including orientation, arrivals, graduations and general course, accommodation and welfare enquiries.
- Coordinate student activities and initiatives that promote a positive, engaging student experience.
- Respond to student welfare, safeguarding, accommodation and attendance concerns, escalating where appropriate.
- Manage student administration, including registrations, documentation, attendance records, certificates, databases and internal systems.
- Coordinate accommodation bookings, host family relationships, transfers, arrivals and departures, ensuring appropriate compliance and safeguarding requirements are met.
- Liaise with internal teams including Admissions,



Academics and Finance to ensure accurate bookings, records and invoicing.
- Submit invoices, track payments, follow up on outstanding balances and support the resolution of payment queries.
- Monitor student feedback and identify opportunities to improve services.
- Participate in emergency phone evening and weekend coverage as required.
- Occasionally support marketing activities, open days and local market research

Essential Skills & Experience:

- Minimum bachelor’s degree in any subject
- Previous experience in administrative management, invoicing, and financial follow-up, ideally in the professional training or higher education sector
- Experience working in a Customer Service role (desirable)
- Fluent in English (mandatory) and another language (desirable)
- Excellent administrative and organisational skills
- Excellent team worker with the ability to negotiate and compromise
- Comfortable using digital tools and management software
- Accuracy, attention to detail and a methodical approach
- Good working knowledge of Microsoft Office packages
- Willingness to work flexible hours and Saturdays
- Excellent knowledge of Toronto and its neighbourhoods
