End Date: November 20, 2026 with a possibility of extension Salary: Band 4 - $76,840.32 to $89,892.33

Hours: 35 hours per week

Trillium Lakelands District School Board (TLDSB) encompasses the municipalities of the City of Kawartha Lakes, Haliburton County, and the District Municipality of Muskoka. With approximately 16,000 students, TLDSB has 40 elementary schools, seven secondary schools, and six Adult and Alternate Education Centres.

Reporting to the District Principal of Human Resources Services, the incumbent in this position ensures that casual/occasional teaching and non-teaching staff are dispatched to fill vacancies due to absences. This is accomplished through the management of the Atrieve Dispatch System (ADS) software and by providing functional guidance to the dispatch staff. The incumbent is also responsible for the permanent Educational Assistant (EA) staffing process.

The incumbent will also provide backup or support to the Support Staff Staffing Officer, as needed.

The incumbent in this position will contribute to student achievement and the TLDSB Mission by ensuring that the absences and temporary vacancies are filled with qualified replacement staff and by ensuring that the School Board employs qualified and highly effective Educational Assistants.

Primary Responsibilities Include

- Supporting recruitment and staffing for new permanent, temporary and occasional Educational Assistant positions across all levels of the system, including:
- Tracking of all permanent, temporary and transitional Educational Assistant (EA) allocations as advised by the Superintendent of Special Education Services
- Communicating with school administrators regarding their staffing of these EA hours
- Ensure collective agreement compliance with regards to the hiring of staff
- Support the twice-yearly review and placement of all EA staff
- Supporting the management of the EA layoff,



transfer and placement process
- Creating and maintaining seniority lists, staff lists, recall lists, and occasional rosters in accordance with the Collective Agreement
- Preparing statistical reports as required
- Processing all leave of absences (ESA leaves and special leaves of absence)
- Providing support and oversight of the dispatch staff and the Atrieve dispatch system to ensure that call out procedures are in compliance with collective agreement requirements, including:
- Provide support to the dispatch team and administrators / supervisors about attendance and proper absence coding as required
- Responsible for the Sick Benefits Tracking (SBT) Module, including:
- Manage sick leave entitlements for all LTO and temporary staff (across all job classes) as well as calculating and adjusting sick leave entitlements as contracts change
- Correspond with employees, school administrators, attendance support staff and the unions regarding 11-day sick leave thresholds for temporary and LTO staff
- Initiate the year-end rollover process and ensure accurate sick and personal leave refresh and top up allocations for all employee groups
- Other duties as assigned

Education

- 2 year post-secondary Human Resources diploma or certificate
- CHRP designation preferred (or in progress)

Experience

- 1 year Human Resources work experience
- Knowledge of, and experience with human resources services, HR policies and practices, recruitment practices, relevant legislation and collective agreement administration in a unionized environment

Professional Knowledge and Skills

- Excellent interpersonal skills and superior verbal and written communication skills
- Demonstrated organizational ability, initiative and attention to detail




- Ability to function independently and as a member of a team, dealing with confidential information and multiple priorities in a complex workplace
- Proficiency in computer applications including Microsoft Office and Google Suite
- Experience with HRIS systems, as well as records management
