Our client is a well-established and highly respected commercial real estate organization with a long-standing presence in the Vancouver market. Managing a diverse portfolio of commercial assets, they have built a reputation for delivering exceptional service, solid tenant relationships, and operational excellence.
Due to continued growth, they are seeking a Tenant Services Coordinator to join their collaborative and close-knit team. Please note this role is based on site everyday.
Your New Role
As the Tenant Services Coordinator you will act as the first point of contact for tenants, contractors, vendors, and visitors, while supporting the day-to-day operations of a commercial property management office.
This is a highly visible role that blends office administration, tenant service coordination, maintenance dispatch, and access control administration. You will work closely with Property Managers and Operations staff to ensure service requests are handled efficiently, and tenant needs are met in a professional and timely manner.
Key Responsibilities
- Act as the primary reception contact for the office, greeting visitors and managing incoming calls.
- Coordinate mail, courier deliveries, notices, and general office correspondence.
- Provide administrative support to Property Managers, Operations staff, and leadership teams.
- Receive, track, and coordinate tenant maintenance requests and service inquiries.
- Liaise with contractors and vendors to schedule and complete maintenance work.
- Monitor work orders from initiation through to completion and follow up with tenants as required.
- Obtain and compare contractor quotations for maintenance and repair projects.
- Coordinate preventative,
routine, and emergency maintenance activities across the portfolio.
- Maintain key inventories, access records, and security documentation.
- Program and administer access fobs and credentials within building access control systems.
- Maintain accurate records, filing systems, and operational documentation.
What You'll Need to Succeed
- Minimum 2 years of experience in office administration, service coordination, facilities administration, property management support, or a related field.
- Exceptional customer service and communication skills.
- Strong organizational skills with the ability to manage multiple priorities.
- A professional and polished approach when interacting with tenants, vendors, and visitors.
- Proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and Teams.
- Experience within commercial property management, facilities management, construction administration, or real estate is considered a strong asset.
- Ability to work independently while contributing to a team-oriented environment.
