Aurora Renewables LP is a design-build renewable energy company headquartered in Saskatoon, Saskatchewan. We deliver solar, EV charging, and renewable energy infrastructure projects across Western Canada.

The Opportunity

Aurora Renewables is looking for a Warehouse & Administrative Coordinator to join our Saskatoon team. This role is primarily focused on warehouse and inventory management, keeping our field crews and project sites supplied with the materials, tools, and equipment they need, while also providing office and administrative support to the wider team. We're looking for someone organized and hands-on who is comfortable moving between the warehouse, the field, and the office.

Key Responsibilities

Warehouse & Inventory

- Receive, inspect, and log incoming materials, tools, and equipment against purchase orders and packing slips.
- Record materials issued to projects and returned to the warehouse, including quantities and project codes.
- Track tools and equipment checked out to crews and follow up on returns.
- Identify damaged items, shortages, and receiving discrepancies and coordinate follow-up.
- Coordinate supplier returns and rental equipment returns, where assigned.
- Organize and maintain warehouse storage areas, ensuring materials are labelled, accessible, and stored safely.
- Maintain accurate inventory records, perform regular stock counts, and reconcile discrepancies.
- Track stock levels and identify items that need replenishment.
- Pick, pack, and stage materials, tools, and equipment for delivery to project sites.
- Maintain a clean, organized, and protected warehouse in line with company safety standards.
- Operate warehouse equipment (forklift) as required and in accordance with safety training.
- Support periodic and year-end physical inventory audits.

Purchasing & Project Logistics Support

- Obtain quotes from suppliers and subcontractors and assist with purchasing materials, tools, equipment, and subcontracted services, following company approval procedures.
- Track purchase orders,



coordinate approvals, and support invoice processing.
- Maintain purchasing and order records, follow up on outstanding orders, and flag discrepancies to the appropriate team member.
- Coordinate with field crews and Project Managers to confirm upcoming material, tool, and equipment needs.
- Arrange shipping, pickups, and deliveries between suppliers, the warehouse, and project sites.
- Communicate delivery updates, shortages, and equipment availability to support project planning.
- Assist Project Managers and field supervisors with scheduling crews across multiple projects, considering project timelines, staffing needs, and crew availability.

Office Administration

- Assist with day-to-day office administration, including supplies, equipment coordination, and vendor communications.
- Support leadership with scheduling, meeting coordination, and internal communications.
- Prepare reports and correspondence and maintain organized project and administrative records.
- Coordinate office cleaning services, monitor cleaning standards, and follow up to ensure shared spaces remain clean and well maintained.
- Flag office maintenance needs and coordinate service visits as directed.

Health & Safety Support

- Monitor stocks of personal protective equipment (PPE), first aid supplies, and other safety supplies, and arrange replenishment as needed, following company purchasing procedures.
- Help ensure required safety equipment and supplies are available to warehouse and field teams before work begins, and flag shortages, damaged or expired items to the designated safety lead.
- Track safety training, certifications, and orientations, and assist with scheduling renewals.
- Maintain organized health and safety records, including inspection forms, toolbox talks, incident documentation,



and current manuals, procedures, and policies.
- Assist the designated safety lead with COR-related documentation, inspection follow-ups, and corrective action tracking.
- Follow company safety procedures and promptly report hazards or unsafe conditions.

What You Bring

- High school diploma required; post-secondary education in business administration, supply chain, or a related field is an asset.
- Experience in warehouse operations, inventory tracking, purchasing, or construction support.
- Comfort with both hands-on warehouse duties and office administration, including accurate data entry and recordkeeping.
- Valid driver's licence.
- Forklift certification, or a willingness to complete the required training.
- Proficiency with Microsoft Excel and Outlook, and a willingness to learn company inventory and purchasing systems.
- Ability to safely perform material-handling duties in warehouse, outdoor storage, and project-site environments.
- Clear communicator, comfortable liaising between warehouse, field, and office teams.
- Familiarity with, or willingness to learn, COR and workplace health and safety requirements.
- Strong organizational skills, attention to detail, and the ability to manage changing priorities.
