Here's how an Administrative Assistant for PCL Constructors Inc. within Edmonton NAHQ contributes to our team:
Responsibilities
- Develops and maintains a well-organized digital filing structures in SharePoint, Teams, and shared drives that permits easy reference and rapid retrieval of information across the AI Services portfolio.
- Manages incoming communications across Teams, email, and phone on behalf of the AI Services Corporate Lead, triaging requests and routing to appropriate team members or stakeholders.
- Coordinates visitor logistics for vendor meetings, technology partner sessions, and executive briefings, including room setup, A/V readiness, and pre-read distribution.
- Creates and maintains templates standard artifacts, including governance forms, status reporting templates, presentation decks, Notebooks/ OneNote and tracking workbooks within the M365 ecosystem.
- Organizes and coordinates recurring and ad hoc meetings, including cross-functional leadership reviews,
strategic on and offsites, team stand-ups, vendor demonstrations, and enablement sessions, managing agendas, logistics, pre-reads, and follow-up actions.
- Arranges travel, accommodations, and itineraries for the AI Services Corporate Lead, including logistics for conferences, vendor site visits, and cross-district stakeholder engagements.
- Able to mentor and coach other, more junior, administrative support staff.
- Tracks and drives adherence to departmental reporting cadences, governance milestones, and deliverable deadlines across the AI Services portfolio, proactively flagging risks, milestones and deliverables to the Corporate Lead.
- Produces and refines executive-quality deliverables in Word, Excel, PowerPoint, SharePoint, Teams and Planner, including governance documents, status reports, executive presentations, and portfolio tracking workbooks.
- Builds and maintains strong working relationships across business units, technology teams, and external vendor contacts, representing the AI Services function with professionalism and discretion.
- Embraces a culture of continuous improvement, innovation, and service excellence within the AI Services function.
- Supports the preparation and distribution of board-ready and executive-level briefing materials, ensuring accuracy, formatting consistency, and adherence to corporate communication standards.
- Maintains awareness of the AI Services portfolio structure, key initiatives, and team roster sufficient to route inquiries, prepare contextual briefings, and anticipate scheduling needs.
- Manages purchase requisitions, vendor onboarding paperwork, and license tracking for software and platform subscriptions within the AI Services budget and coordinate with BT counterparts, where needed.
- Other duties as required.
Qualifications
- High school diploma.
- Postsecondary degree, diploma, or certificate in business administration, communications, information technology, or a related discipline considered an asset.
- 2-3+ years of experience in an administrative role, preferably supporting senior leadership within a technology, corporate services, or innovation function.
- Excellent verbal and written communication skills.
- Professional and service- oriented approach internally and externally.
- Ability to manage competing priorities across multiple workstreams while maintaining attention to detail.
- Ability to act with discretion when handling confidential and privileged information, including vendor evaluations, strategic roadmaps, and governance deliberations.
- Ability to effectively handle difficult calls and situations.
- Ability to remain calm under pressure.
- Ability to anticipate needs and adapt to various leadership and work styles in a quick-evolving environment.
- Ability to develop and maintain effective stakeholder relationships.
- Ability to create, edit, proofread, and format documents/presentations.
- Intermediate proficiency in the Microsoft 365 suite, including Word, Outlook, PowerPoint, Excel, Teams, SharePoint Online, and Planner. Experience with Microsoft Copilot, Cowork or AI assisted productivity tools is an asset.
- Comfort working in a technology-focused environment; curiosity about AI, data, and digital transformation concepts is valued over prior technical expertise.
- Demonstrated ability to support senior or executive-level leadership with minimal supervision.
- Experience with or willingness to learn project tracking and workflow tools such as Azure DevOps (Boards), Microsoft Planner, or similar platforms.
